Compliance-gated AEO content agent for financial services marketing teams on HubSpot

The Content Operator finds the questions buyers ask AI assistants about your financial services category, drafts answer-first articles from pre-approved language, and routes every piece through registered principal review in HubSpot before it publishes. It closes the citation gap where assistants name competitors and never your firm, while keeping a full FINRA and SEC recordkeeping trail for every draft, edit and approval.

THE JOB

What The Content Operator does

A financial services firm with 200+ employees (for example, a provider of retirement plan services or treasury solutions to mid-market employers) runs marketing on HubSpot. When prospects ask AI assistants which providers to consider or how the category works, the answers cite competitors, trade publications and aggregator sites, and the firm is absent. Its blog is thin, slow to publish, and content stalls for weeks in compliance review because drafts arrive full of unapproved claims. The Content Operator works for the content and demand gen team and owns the pipeline from question to compliant published article: it tracks which buyer questions the firm is not cited for, builds briefs, drafts answer-first articles using only the approved-language library and sourced facts, pre-screens against compliance rules so reviewers see cleaner drafts, structures pages for search and AI citation, and refreshes published content when rates, regulations or products change. It never publishes on its own; a registered principal approves every customer-facing piece, and every version is archived.

PLATFORM

Built on HubSpot

The firm already runs its CMS, approvals and attribution in HubSpot, so drafts, review workflows and reporting stay there; HubSpot's approval features and Breeze help with in-platform editing and repurposing. Breeze alone does not enforce a firm-specific approved-language library or produce a regulator-ready audit trail, so the drafting and compliance pre-screen run as a custom Claude build orchestrated in n8n, reading the library from Airtable and writing results back into HubSpot. Rank Prompt supplies the AI citation data that defines what to write, and Moz covers traditional search. This keeps compliance's existing review habits intact while removing most of the rework that slows approvals today.

TRIGGERS

What starts it

  • Weekly AI visibility report shows a tracked buyer question where competitors are cited and the firm is not
  • Content lead approves a quarterly topic plan or adds a question to the brief queue in HubSpot
  • A regulatory, product, fee or rate change is logged, flagging published articles that reference the affected facts for refresh
  • Sales or service logs a recurring prospect question in HubSpot that has no matching published answer
  • A published article loses rankings or drops out of AI assistant answers for its target question
DATA

What it reads

  • HubSpot CMS, blog and content properties (published articles, performance, approval status)
  • Approved-language library and disclosure bank maintained by compliance (kept in Airtable with version history)
  • AI visibility tracking from Rank Prompt across major assistants for a fixed set of buyer prompts
  • Search data from Moz (keyword difficulty, ranking positions, competing pages)
  • HubSpot deal notes, call summaries and service tickets for real buyer questions
  • Approved source documents: product fact sheets, fee schedules, filed disclosures and published regulatory guidance
THE WORKFLOW

How it works, step by step

  1. Map the citation gapEach week the agent pulls Rank Prompt results for the tracked buyer prompts, lists which sources assistants cite, and matches each uncited question against existing HubSpot content. It ranks gaps by buyer intent and whether an approved answer can be written from existing source material.
  2. Build a compliance-aware briefFor each chosen question the agent writes a brief in HubSpot: the direct answer in two to three sentences, the sub-questions assistants also cover, required disclosures, the audience classification (retail or institutional), approved phrases to use, banned claims to avoid, and the exact source documents allowed. Moz data sets the search target.
  3. Draft answer-first from approved materialClaude drafts the article with a direct answer at the top, short question-led sections, a definitions block, comparison tables built only from sourced facts, and an FAQ section. Every factual statement carries an inline source reference to an approved document so reviewers can verify quickly.
  4. Run the compliance pre-screenAn n8n workflow checks the draft against the approved-language library and a rules list: no promissory or guarantee language, no performance figures or testimonials without required treatment, no superlatives the firm cannot substantiate, correct disclosures present for the audience type. Flags are annotated in the draft rather than silently rewritten.
  5. Editorial QA and structureThe agent checks brand voice, reading level, internal links to product and resource pages, schema markup (Article, FAQPage), author and reviewer attribution, and a visible last-reviewed date. It then submits the draft into the HubSpot approval workflow with the source pack attached.
  6. Principal approval, archive and publishA registered principal approves, edits or rejects inside HubSpot. On approval the final version, all prior drafts, reviewer comments and timestamps are exported to the firm's books-and-records archive, then the article is scheduled. Rejections feed back into the rules list so the same issue is not repeated.
  7. Monitor and refreshThe agent rechecks AI citations and rankings for each published piece at set intervals and watches the change log. When a fact changes or citations drop, it drafts a refresh that goes through the same review path, never an unreviewed edit to a live page.
HUMANS IN THE LOOP

When a person takes over

  • Registered principal review: every customer-facing article and every refresh is approved by a principal before publishing, because the agent cannot take regulatory responsibility for a communication with the public.
  • Unsupported or new claims: when a question can only be answered with a claim not in the approved library or source pack (for example, a comparison to named competitors or a statement about outcomes), the agent stops and routes the brief to compliance and the product owner instead of improvising wording.
  • Subject matter accuracy: articles touching tax treatment, regulatory interpretation or product mechanics go to a named internal expert for a technical read before compliance sees them.
  • Topic prioritization: the content lead approves which gaps to pursue each cycle, since some uncited questions (such as pricing comparisons) may be ones the firm deliberately does not answer publicly.
GUARDRAILS

Rules it follows

  • Approved language only: the agent drafts from the compliance-maintained library and approved source documents, and every factual sentence must trace to one. No performance figures, testimonials, guarantees or predictions unless compliance has supplied the exact approved wording and disclosure.
  • Nothing goes live without principal approval in HubSpot, and the agent has no publish permission on the CMS; it can only submit for review.
  • Full recordkeeping: every draft, edit, comment, approval and published version is retained with timestamps and exported to the firm's archive so communications can be produced on request under FINRA and SEC rules.
  • No client or account data in prompts: deal notes and tickets are used only to extract question themes, with names and account details stripped before anything reaches the model.
  • Brand voice and audience fit: retail and institutional content are kept separate with the correct disclosures for each, and tone stays educational rather than promotional.
KPIS

How you know it works

  • Share of tracked buyer prompts where AI assistants cite the firm, tracked monthly in Rank Prompt
  • Compliant articles published per month, and median days from brief to principal approval
  • First-pass compliance approval rate (drafts approved without substantive rework)
  • Organic rankings and traffic for target questions, plus HubSpot-attributed contacts and influenced pipeline from those pages
  • Share of published articles reviewed and current within their refresh window
ROLLOUT

From pilot to live

  1. Pilot (first 6 to 8 weeks)Agree the tracked buyer prompts and baseline citation share. Compliance builds the first approved-language library and rules list with the agent's help. Produce a small batch of articles on the highest-intent gaps, measure review time and rework, and tune the pre-screen against every principal comment.
  2. Scale the cadenceMove to a steady weekly publishing rhythm, add content refreshes driven by the change log, and expand the prompt set to adjacent questions. Wire the archive export and approval reporting so compliance can audit the pipeline without manual pulls.
  3. Run and optimizeOperate the agent ongoing: monthly citation and ranking reviews, quarterly topic planning with the content lead, regular updates to the approved library when products or regulations change, and pruning or merging of articles that never earn citations.

How we build The Content Operator (blog writer agent) ↗

Questions about this agent

Good questions.
Straight answers.

Will our compliance team accept AI-drafted content under FINRA and SEC rules?

Rules on communications with the public apply to the content, not to who or what wrote it. The agent is designed to fit existing supervision: it drafts only from approved language and sources, a registered principal approves every piece in HubSpot, and every version and approval is retained in the firm's archive. Many teams find review gets easier because each claim arrives with its source attached and common problems are flagged before a reviewer sees the draft.

How do we know if AI assistants actually start citing us?

We set a fixed list of buyer prompts at the start and track them across the major assistants in Rank Prompt, recording which sources are cited each week. That gives a baseline and a monthly trend for citation share, and shows which articles earn citations so the topic plan can follow what works. Results depend on your category and competition, so we do not promise a specific lift.

What happens when a rate, fee or regulation changes after an article is live?

Changes are logged once, and the agent finds every published article that references the affected fact, drafts the update, and sends it through the same principal review. The live page is not edited until the update is approved, and both the old and new versions are archived so you can show what was published and when.
