Spec-accurate blog agent for small industrial manufacturers selling through distributors, built on Claude with Salesforce and ERP data

The Content Operator turns datasheets, application engineering notes, distributor questions and ERP order patterns into technically accurate, SEO and AEO-structured blog posts, with engineer sign-off on every spec claim, so a small manufacturer can move from two posts a month to one per business day without hiring. It drives more pages that rank for application and spec queries, more citations in AI answers that engineers and buyers use during long evaluations, and more spec-sheet downloads and distributor referrals tracked back to Salesforce.

THE JOB

What The Content Operator does

A 30-person industrial components manufacturer has one marketer who publishes twice a month, mostly when an application engineer finds time to explain a product. Buyers are design engineers and procurement teams who research for months, compare spec sheets, and often buy through a distributor the manufacturer never hears from until the order lands in the ERP. The team wants a post every business day without adding headcount. The Content Operator owns the content pipeline end to end: it picks topics from real demand (distributor and RFQ questions, ERP order trends by product family and industry, search and AI-answer gaps), writes briefs, drafts posts grounded only in approved technical sources, structures them for search and AI citation, runs editorial and technical QA, routes spec claims to an engineer for a fast yes or no, and publishes approved posts on schedule. It is built and operated as a managed service, so prompts, sources, templates and the approved-claims library are maintained for the team rather than by them.

PLATFORM

Custom build

The company runs Salesforce and keeps its real order data in an ERP, so a HubSpot Breeze agent would sit outside both systems and outside the technical documents that matter most. A custom Claude build fits better: Claude handles long, dense technical documents well, can be restricted to retrieval over an approved source library with claim-level citations, and can run a separate reviewer pass for QA. n8n connects the pieces (Salesforce, the ERP export, Airtable, WordPress and the engineer approval digest) without custom middleware, and because the team wants it built and kept running, prompts, sources and the claims library can be maintained centrally as products and datasheets change.

TRIGGERS

What starts it

  • Weekly planning run every Monday that builds the next 5 to 10 briefs from the topic backlog
  • A new or revised datasheet, product manual or certification document is added to the approved source library
  • A distributor, channel partner or inside sales rep logs a recurring technical question in Salesforce or a shared intake form
  • ERP export shows a product family or end-market gaining order volume with little supporting content on the site
  • Monthly AI-search and ranking check flags a spec or application query where competitors are cited and the company is not
DATA

What it reads

  • Approved technical library: datasheets, installation manuals, test reports, certification and compliance documents, CAD-adjacent spec tables
  • Salesforce: opportunities, distributor and partner accounts, logged technical questions, web-to-lead and spec-download records
  • ERP order data exported to a warehouse or Airtable, aggregated by product family, industry and region with customer names stripped
  • Recorded application engineering calls and distributor training sessions transcribed with Fireflies
  • Search and AI visibility data from Moz, Google Search Console and Rank Prompt
  • Existing blog, product pages and a brand voice and terminology guide (preferred units, part-number formats, banned phrasing)
THE WORKFLOW

How it works, step by step

  1. Mine real buyer questions into a topic backlogClaude reads distributor questions logged in Salesforce, engineering call transcripts and ERP trend summaries, clusters them into topics (for example, material selection for a corrosive environment or sizing a component for a given load), and scores each by order relevance, search and AI-answer gap, and whether approved sources exist to answer it. The backlog lives in Airtable so the marketer can reorder or veto topics in seconds.
  2. Write a spec-grounded briefFor each chosen topic the agent produces a brief: target query and related AI prompts, buyer role (design engineer, maintenance lead, procurement), the exact datasheet sections and test reports allowed as sources, required tables, internal links to product and spec-sheet pages, and the call to action (download the spec sheet, request a sample, or find a distributor). Topics with no approved source are parked, not guessed.
  3. Draft with citations to internal sourcesClaude drafts using retrieval over the approved library only. Every number (tolerances, pressure ratings, temperature ranges, standards) is tagged to its source document and page. Posts lead with a direct answer, then comparison tables, selection criteria, and an FAQ block, which is the structure both search engines and AI assistants pull from.
  4. Apply SEO and AEO structureThe agent adds schema (Article, FAQPage, and Product references where relevant), descriptive headings phrased as engineer questions, consistent units with conversions, part-number formatting, and internal links. It checks the draft against current ranking pages in Moz and the AI-answer gaps found in Rank Prompt so the post adds what competitors miss.
  5. Run editorial and technical QAA second Claude pass acts as reviewer: it verifies every tagged claim still matches the source, flags any untagged number, checks brand voice and terminology, catches lead time, pricing, or distributor-specific statements, and scores readability for a technical audience. Anything flagged is either fixed automatically from sources or routed to a person.
  6. Route spec claims for engineer sign-offn8n sends the application engineer a short digest, not a full post: the specific claims, their sources, and a one-click approve, edit, or reject. Approved claims go into a reusable approved-claims library so the same statement never needs review twice, which keeps engineer time to minutes per week.
  7. Publish, measure and refreshApproved posts publish to the WordPress site on WP Engine on a daily schedule. n8n writes the post URL and topic to Salesforce so spec downloads, sample requests and distributor-locator clicks can be attributed. Monthly, the agent flags posts losing rank or AI citations, or whose source datasheet has changed, and queues refreshes.
HUMANS IN THE LOOP

When a person takes over

  • Application engineer approves any new performance, compatibility, or safety claim before publish, because a wrong rating in a public post can cause a field failure or a warranty dispute
  • Quality or compliance lead reviews any post mentioning certifications, regulatory standards, or hazardous-environment use, since those statements carry legal weight
  • Channel or sales manager approves posts that reference distributors, regions, or partner programs, to avoid conflict with partner agreements or channel pricing
  • Marketer makes the final call on topic priority and tone each week and handles any post the QA pass cannot resolve from approved sources
GUARDRAILS

Rules it follows

  • No specification, rating, tolerance, or standard appears in a post unless it is tagged to an approved source document; untagged numbers block publishing
  • Never state pricing, lead times, stock levels, or minimum order quantities, and never name an end customer or reveal order volumes; ERP data is used only in aggregate to choose topics
  • Never name or rank individual distributors or imply direct sales in a territory covered by a channel partner unless the channel manager has approved that wording
  • Every post uses the company's unit conventions and part-number formats, includes a 'consult your engineer or distributor for application-specific selection' note where sizing is involved, and follows the voice guide
  • If source documents conflict (for example, an old and new datasheet revision), the agent stops and escalates rather than choosing one
KPIS

How you know it works

  • Published posts per month against the daily target, and engineer review minutes per post
  • Organic rankings and clicks for application and spec queries in Search Console and Moz
  • Share of tracked AI prompts where the company is cited, measured in Rank Prompt
  • Spec-sheet downloads, sample requests and distributor-locator clicks from blog sessions, logged in Salesforce
  • Influenced opportunities and distributor-referred leads in Salesforce where a contact viewed blog content before the first touch
ROLLOUT

From pilot to live

  1. Pilot (first 4 to 6 weeks)Load the technical library for one or two product families, build the voice guide and brief template, connect Salesforce and an anonymized ERP export, and publish three posts a week with full human review of every draft. Build the approved-claims library from these reviews.
  2. Scale (next 6 to 8 weeks)Expand to all product families, move to one post per business day, and switch engineer review to the claims-only digest. Turn on Salesforce attribution, Rank Prompt tracking and the distributor-question intake so topics come from real demand.
  3. Operate and refresh (ongoing)Run the monthly refresh cycle for rank drops, lost AI citations and datasheet revisions, add new formats such as selection guides and comparison pages, and review KPIs quarterly with marketing, engineering and the channel manager to adjust topic mix.

How we build The Content Operator (blog writer agent) ↗

Questions about this agent

Good questions.
Straight answers.

How do we keep an AI from publishing a wrong pressure rating or tolerance?

The agent only drafts from your approved documents, tags every number to a source page, and a second QA pass blocks any untagged figure. New claims go to an engineer as a short list to approve or reject, and approved claims are reused so review gets faster over time. If two document revisions disagree, it stops and asks.

Most of our sales go through distributors and land in the ERP. How will we know the content is working?

Track the actions you can see: spec-sheet downloads, sample requests, distributor-locator clicks and form fills, all written to Salesforce with the post that drove them. Add AI citation share and rankings for spec queries. Then compare aggregated ERP order trends for product families you have covered against those you have not. It is directional, not perfect attribution, and the blueprint treats it that way.

Will daily posts conflict with what our distributors publish or say?

The agent writes application and selection content that helps engineers specify your parts, and points buyers to their distributor rather than around them. It never mentions pricing, lead times or territory, and any post referencing partners goes to your channel manager first. Many teams also share finished posts with distributors as ready-made technical content.
