Academic-calendar workflow agent for education and training providers on HubSpot: term-driven rep lists and audience-split nurture that replace Monday list pulls

This agent replaces the hand-built Monday lists at a 51 to 200 person education and training provider by assembling each rep's weekly target list from HubSpot, an academic calendar of term, budget and enrollment dates, and buying signals, then enrolling institution buyers in branching nurture timed to where each school or district sits in its cycle. Reps start Monday with a ready call list and agent-prepared context at the stages that matter, so time goes to booking meetings with decision makers, while parents, students and student records are kept out of the sales motion entirely.

THE JOB

What The Term Planner does

Every Monday morning, the reps at this mid-size education and training provider (selling programs, curriculum and professional development to K-12 districts, colleges and workforce organizations, with a smaller direct-to-family line) open HubSpot exports, cross-check spreadsheets of district budget dates and term starts, remove parents and students who came in through enrollment forms, and guess who to call. By the time the list is ready, half the morning is gone and the timing is often wrong for the buyer's calendar. The Term Planner owns that work end to end for the marketing team. It maintains a calendar of each target institution's term dates, budget adoption windows and enrollment periods, classifies every contact by audience (institution buyer, parent, student, partner), builds each rep's prioritized weekly list overnight on Sunday, enrolls institution contacts in segment-specific nurture that branches by where they are in their planning cycle, and fires agent tasks with account context when a contact hits a stage worth a call. It is built and maintained as a managed service: calendar refreshes, segment logic and message modules are kept current so the team does not have to babysit it between terms.

PLATFORM

Built on HubSpot

The team already runs marketing and sales in HubSpot, so lists, workflows, task queues, deals and Breeze summaries stay where reps work and where reporting already lives. HubSpot does not natively understand that each school or district runs on its own term and budget calendar, so the calendar sits in Airtable and a custom AI build orchestrated in n8n handles the timing logic, scoring, redaction and account briefs, writing results back to HubSpot. Chili Piper handles territory routing to a booked meeting, and Apollo fills buyer-role gaps without manual research.

TRIGGERS

What starts it

  • Weekly scheduled run every Sunday night that builds and publishes each rep's Monday call list and HubSpot task queue
  • An institution reaches a calendar milestone in the academic calendar table (for example a set number of days before budget adoption, term start or the close of an enrollment window)
  • An institution contact attends or registers for a program webinar, or downloads a curriculum or outcomes resource
  • An identified visit from a known district or campus domain to pricing, program or implementation pages
  • A key role changes at a target institution (new curriculum director, new dean of continuing education, new workforce program lead)
DATA

What it reads

  • HubSpot CRM: contacts, companies with institution type and territory, deals, past contracts, renewal dates and email engagement
  • Academic calendar table in Airtable: term dates, breaks, budget adoption and board meeting windows, enrollment periods per institution
  • Apollo and FullEnrich for filling missing administrator and department-head contacts at target institutions
  • Warmly for website visit and buying-signal data at the institution level
  • Webinar platform attendance (for example Demio) synced into HubSpot
  • LMS reporting (for example LearnWorlds) at aggregate, institution level only, such as active seats and completion rates for existing customers
THE WORKFLOW

How it works, step by step

  1. Refresh the calendar and classify audiencesEach Sunday the agent pulls the Airtable academic calendar and flags institutions entering a planning, budget or enrollment window in the next one to three months. It then checks every new or updated HubSpot contact against an audience property. Institution staff stay in the sales pool. Parents and students who arrived through enrollment or inquiry forms are routed to the consumer enrollment nurture owned by the admissions team and are never placed on rep lists. Contacts with unclear audience are held for review rather than guessed.
  2. Build each rep's Monday listFor each territory, the agent scores institution accounts on calendar timing, recent signals (webinar attendance, site visits, resource downloads), fit (institution type, size, program match) and relationship history. It fills missing buyer roles with Apollo or FullEnrich, dedupes against HubSpot, suppresses accounts in active renewal or open procurement, and writes a ranked list of 15 to 25 accounts per rep into a HubSpot view and task queue, each with a two-line reason it is on the list this week.
  3. Enroll institution contacts in cycle-aware nurtureContacts not yet ready for a call go into HubSpot workflows that branch by segment (K-12 district leadership, college continuing education, workforce boards) and by cycle stage. Planning-stage contacts get outcomes evidence and peer case narratives. Budget-stage contacts get implementation scope and funding-source guidance. Enrollment-stage contacts get launch timelines. Sends pause automatically during each institution's breaks and resume before staff return.
  4. Fire agent tasks at key stagesWhen a contact replies, attends a live session, revisits pricing within a budget window, or a new decision maker appears, a custom AI agent (orchestrated in n8n) assembles a short account brief from HubSpot history, calendar position and engagement, drafts a suggested opener, and creates a high-priority HubSpot task for the territory rep. Breeze is used for in-CRM summaries and email drafting so reps see context where they already work.
  5. Route to a booked meetingNurture emails and follow-ups carry a Chili Piper booking link that routes by territory and institution type to the right rep. Inbound form fills from institution domains get an instant calendar offer. Booked meetings create or update a HubSpot deal tagged with the calendar window that produced it.
  6. Close the loop with reps and tune weeklyReps mark list accounts as worked, not a fit, or wrong timing directly in HubSpot. The agent uses that feedback to adjust scoring, and a weekly digest to marketing shows list acceptance, meetings booked by window and any contacts held for review. Calendar gaps and new institution dates are flagged for update.
HUMANS IN THE LOOP

When a person takes over

  • A reply or form field contains student-specific information (names, grades, accommodations, attendance): the agent stops, redacts it from any downstream system, and alerts the rep and the privacy owner to respond through the approved channel instead of drafting a reply.
  • An institution mentions an RFP, bid, purchasing cooperative or board approval process: the agent pauses nurture for that account and hands it to the territory rep, because procurement timelines and rules need human judgment.
  • A parent or student lands in the institution pool, or a contact's audience cannot be determined: the record is held and sent to the admissions or enrollment team to classify, not added to a rep list.
  • An institution's term or budget dates are missing or look wrong: marketing ops confirms the dates before the agent times any outreach to that account.
GUARDRAILS

Rules it follows

  • FERPA: no student-level education records from the LMS, student information systems or enrollment forms enter HubSpot properties, agent prompts or logs. Only aggregate, institution-level data (seat counts, completion rates) is used, and any student detail that appears in a reply is redacted before processing.
  • Audiences never mix: institution buyers, parents and students live in separate pipelines and nurture tracks, and sales sequences never send to students or to contacts flagged as minors.
  • Outreach respects the academic calendar: no sends to institution staff during that institution's breaks or exam periods, and no new outreach to accounts in active procurement or renewal negotiation.
  • Every nurture email is assembled from a marketing-approved module library with verified outcome claims; the agent can personalize openers and order modules but cannot invent results, pricing or funding guarantees.
  • Reps can override any list placement, and the agent never removes an account a rep has manually claimed.
KPIS

How you know it works

  • Rep hours spent on Monday list building (tracked by short weekly check-in, trending toward zero)
  • Meetings booked per rep per week with institution decision makers
  • Share of weekly list accounts reps mark as worked versus not a fit
  • Pipeline created per calendar window (budget season, pre-term, enrollment period)
  • Time from a key-stage signal to a rep task being created and actioned
ROLLOUT

From pilot to live

  1. Pilot: one segment, two territories, one windowLoad the academic calendar for K-12 districts in two territories, run the Sunday list build and planning-stage nurture through one budget season, and compare rep list acceptance and meetings booked against territories still building lists by hand. Audience classification and FERPA redaction are tested on historical form data before go-live.
  2. Expand segments and stage triggersAdd college continuing education and workforce segments, the budget and enrollment nurture branches, webinar and site-visit triggers, and agent-prepared account briefs. Tune scoring weekly from rep feedback.
  3. Full rollout and ongoing maintenanceAll territories receive Monday lists. Calendar data is refreshed ahead of each term, message modules are reviewed each cycle, and list quality, deliverability and handoff volumes are monitored and corrected as part of ongoing maintenance.

Questions about this agent

Good questions.
Straight answers.

How do we know student records won't end up in HubSpot or the agent?

The integrations are scoped to pull only institution-level fields, and no connection to the student information system or student-level LMS data is built. Inbound replies and form fields pass through a redaction step before the agent reads them, anything that looks like student detail triggers a human handoff, and logs store redacted text only. Your privacy owner reviews the field map before launch.

What happens in summer and over winter break when district staff aren't reading email?

Sends pause per institution based on its own calendar, and the Monday lists shift toward accounts in active windows (often colleges and workforce programs with different cycles). Before staff return, the agent queues re-entry nurture timed to planning season so reps have a full list the week offices reopen.

Will reps actually trust a list they didn't build?

Each account comes with a short reason it is on the list this week, reps can reject or claim accounts in HubSpot, and that feedback changes the scoring. The pilot runs side by side with hand-built territories so the team can judge list quality before it replaces the Monday routine everywhere.

MORE WORKFLOW AGENTS BLUEPRINTS
Marketing · Ecommerce / DTCWholesale and corporate gifting workflow agent for DTC brands on HubSpot: separates bulk buyers from order-status noise and nurtures them across three regionsThis agent sorts every inbound message and form at a DTC brand, sends order, return and shipping questions to support, and pulls out the wholesale, retail-buyer and corporate gifting inquiries that one overloaded SDR keeps missing. It runs region- and segment-specific nurture on those buyers in HubSpot and fires booking paths and SDR tasks at the stages where a call actually moves pipeline.Marketing · Financial servicesDormant lead reactivation workflow agent for financial services marketing teams on HubSpot: compliance-approved second-touch nurture for a backlog of never-recontacted leadsThis agent works through the thousands of leads in HubSpot that got one touch and were never contacted again, re-verifies them, sorts them by history and fit, and runs branching nurture built only from compliance-approved message modules. When a lead shows real interest, it routes them to a registered rep or a booking page, so a dead database turns into booked meetings and pipeline without creating recordkeeping or approved-language risk.Marketing · Healthcare / life sciencesSpeed-to-lead workflow agent for healthcare and life sciences marketing teams on HubSpot: books inbound demo requests in minutes, not the next dayThis agent catches every inbound demo request the moment the HubSpot form is submitted, qualifies and routes it, offers a live calendar slot, and runs a short branching nurture for anyone who does not book, all without letting protected health information into prompts or logs. The result is demo requests that get a booking path within minutes instead of the next business day, fewer cold leads, and more first meetings turning into pipeline.
