Compliance-gated webinar producer agent for small advisory firms on HubSpot that turns recordings into approved on-demand series
The Producer builds every webinar asset for a small financial services marketing team in HubSpot and Demio, routes each piece through compliance review with a full record, and converts the recording into an approved on-demand series, clips and plan-sponsor nurture. The result is a webinar program that runs without manual production work and recordings that keep earning attention after the live session, with nothing customer-facing published before compliance signs off.

What The Producer does
A 30-person advisory firm runs a quarterly educational webinar for employers on topics like retirement plan fiduciary duties and regulatory changes. A two-person marketing team builds the pages and emails by hand, waits on compliance for each edit, and runs the live event. When it ends, the recording sits in the webinar platform because nobody has time to cut it, re-review the transcript, and get clips approved. The Producer owns the full production cycle for the marketing team: it drafts the registration page, invite and reminder ladder, run of show and panel questions from a short brief, bundles each drop into a compliance review packet in HubSpot, and logs every version and approval. After the event it pulls the recording and transcript, flags any off-script or advice-like moments, and drafts an on-demand page, short clips, a recap article and a segmented nurture sequence, each routed back through compliance before publishing. It does not publish, send, or answer an attendee question on its own. The firm's marketing lead owns the calendar and messaging, and compliance owns final approval.
Built on HubSpot
The firm already runs contacts, emails and landing pages in HubSpot, so the review pipeline, version records and nurture live there, and Breeze handles first drafts of pages and emails inside the tools marketing already uses. Breeze alone does not enforce an approved-language library, screen transcripts for advice-like content, or tie approvals to archive records, so a custom AI agent orchestrated with n8n handles those steps, pulling from Demio and the transcript tool and writing results back to HubSpot. This keeps the system of record in one place while adding the compliance controls a regulated firm needs.
What starts it
- A new webinar record is created in HubSpot with a topic, date, speakers and target audience filled in
- Compliance approves or returns a review packet with comments, which restarts the relevant drafting step
- The live session ends and Demio makes the recording, transcript, attendance and Q&A log available
- A previously approved on-demand recording reaches its scheduled review date (for example after a regulatory change or a set number of months)
What it reads
- HubSpot (webinar campaign, contacts, lists, marketing emails, landing pages, and a compliance review pipeline)
- Demio (registrations, attendance, polls, chat and Q&A log, recording)
- The firm's approved-language library and required disclosures, maintained by compliance
- Past approved webinar assets and their compliance comments
- Recording transcript and timestamps from Descript or Castmagic
- The firm's compliance archiving system for outbound communications
How it works, step by step
- Turn the brief into a build planFrom the HubSpot webinar record, the agent drafts the registration page, invite, a reminder ladder (confirmation, one week, one day, one hour, starting now), a run of show with timings and speaker transitions, and five to eight panel questions. It pulls disclosures and phrasing only from the approved-language library and marks any sentence it wrote that is not from the library.
- Package one compliance review packetInstead of sending compliance a stream of separate drafts, the agent assembles every pre-event asset into a single HubSpot ticket in the compliance review pipeline, with the novel sentences highlighted, disclosures listed, and prior comments on similar topics attached. Returned comments are applied and the revised version is resubmitted with a change log.
- Wire the approved assetsOnce approved, the agent builds the landing page and emails in HubSpot, connects Demio registrations to HubSpot lists, schedules the reminder ladder, and records the approved version ID against each asset so the sent version can be matched to the archived one.
- Screen the live Q&A for advisor follow-upDuring and after the session, the agent tags Q&A and chat questions that ask about an individual plan or situation. These are not answered in content. They become HubSpot tasks for a licensed advisor, with the question, the contact and the context.
- Mark up the recording before repurposingThe agent pulls the transcript, flags off-script remarks, performance references, forward-looking statements and anything resembling individual advice, and proposes cut points. It then drafts an on-demand page, three to five short clip scripts with timestamps, a recap article, and follow-up emails split by attended, registered but missed, and asked a question.
- Second compliance pass and publish handoffAll post-event assets go back into one review packet. After approval, marketing publishes the on-demand page, clips (edited in Descript) and nurture in HubSpot, and the agent confirms each outbound item is captured in the archiving system.
- Keep the on-demand series currentThe agent tracks on-demand views and form fills in HubSpot, reports which recordings drive advisor meetings, and opens a re-review ticket when a recording reaches its review date or a referenced rule changes, so outdated content is pulled or updated rather than left live.
When a person takes over
- Compliance approves every customer-facing asset, pre-event and post-event, because recordkeeping and approved-language rules require a principal review before anything goes out
- A licensed advisor takes any attendee question about a specific plan or situation, since the agent and the content cannot give individual advice
- The marketing lead decides which flagged recording segments are cut versus kept and re-reviewed, because that is a messaging and risk judgment
- Speakers confirm the run of show and panel questions before the dry run, since they own what they will say live
Rules it follows
- Nothing customer-facing is sent, scheduled or published without a recorded compliance approval tied to the exact version in HubSpot
- Uses only disclosures and claims from the approved-language library; no performance figures, guarantees, testimonials or forward-looking statements are added by the agent
- Recording segments flagged as off-script or advice-like are excluded from clips and on-demand edits until compliance clears them
- Every outbound version and approval is logged and matched to the firm's archiving system; any mismatch stops the send and alerts marketing
- Attendee questions are never answered by the agent in email or chat; they route to a licensed advisor
How you know it works
- Days from live session to approved on-demand page and clips being published
- Share of past recordings live as approved on-demand content
- Compliance review rounds per webinar (fewer rounds means cleaner first drafts)
- Advisor meetings booked from webinar registrants and on-demand viewers
- Marketing hours spent per webinar, tracked before and after rollout
From pilot to live
- Pilot one webinar (weeks 1 to 6)Load the approved-language library, build the compliance review pipeline in HubSpot, connect Demio, and run one upcoming webinar end to end with compliance reviewing every draft. Also process one existing unused recording to test the post-event markup.
- Clear the backlog (weeks 7 to 12)Run the post-event workflow on the firm's stored recordings, prioritized by topic relevance, to build an approved on-demand library. Tune flagging rules based on what compliance actually cut.
- Run and maintain (ongoing)The agent handles every scheduled webinar and the re-review calendar. The build team monitors the Demio and HubSpot connections, updates the language library and prompts when compliance revises policy, and reviews monthly reports with marketing.

Straight answers.
How does this satisfy FINRA and SEC recordkeeping for webinar emails and clips?
Every asset is approved in a HubSpot review ticket, the approved version ID is stored on the asset, and the agent confirms each sent or published item appears in your archiving system. If the record is missing or the version does not match, the send is blocked. Your compliance team still owns the policy and the final approval.
What happens to recordings where a speaker went off script or gave an opinion on markets?
The agent flags those timestamps in the transcript and excludes them from clips and the on-demand edit by default. Compliance and the marketing lead decide whether to cut, add a disclosure, or approve as is. Nothing flagged is published without that decision.
Can we use it on the recordings already sitting in our webinar platform?
Yes. The second rollout phase runs the post-event workflow on stored recordings, starting with the topics still accurate under current rules. Older recordings that reference outdated rules are flagged for update or retirement rather than republished.
