Follow-up research agent for a solo SDR covering three regions at a small financial services firm on HubSpot
The Researcher builds one SDR's daily follow-up queue across three regions, refreshes research on every account due for a touch, and attaches a short brief, competitive angle and a draft follow-up assembled only from compliance-approved language. The SDR stops losing warm conversations to backlog and spends the day reviewing, sending and booking meetings instead of digging for context.

What The Researcher does
A small financial services firm (11 to 50 people, selling institutional services to businesses and advisory firms) has one SDR covering three regions. Replies, open conversations and second and third touches pile up faster than one person can research them, so follow-ups slip by days, prospects in the far time zones get touched last, and warm accounts go cold. The Researcher works for that SDR and owns the prep behind every follow-up: it decides each morning which accounts are due in which region, refreshes what has changed at each account since the last touch, writes a brief to the HubSpot record, pulls the right competitive battlecard when a competitor is in play, and drafts the next message using only blocks from a compliance-approved language library. It never sends anything on its own. The SDR reviews and sends from HubSpot so every message is logged and archived, and the firm's compliance lead controls what language the agent is allowed to use. Because the firm chose build and maintain, the agent's prompts, data connections, language library sync and battlecards are kept current by the builder, not the SDR.
Built on HubSpot
The firm already runs HubSpot, so the agent should live where the SDR works: HubSpot tasks, sequences, snippets and the record timeline. HubSpot's Breeze agents handle the company research and record enrichment well and keep briefs inside the CRM. A custom AI build, orchestrated with n8n, covers what Breeze does not do out of the box: ranking three regional queues by local time and signal, enforcing an approved-language-only drafting rule, matching battlecards to competitor mentions, and flagging language gaps to compliance. Keeping sends inside HubSpot preserves the logging the firm's recordkeeping depends on, and n8n can be self-hosted so prospect data stays within systems the firm controls.
What starts it
- Daily at the start of each region's business day, the agent builds that region's follow-up queue from overdue and due-today HubSpot tasks, sequence steps and open deals
- A prospect replies to an email or a meeting is marked no-show, so the account moves to the top of the queue with a refreshed brief
- A known account shows a buying signal (repeat website visits identified by Warmly or RB2B, a pricing page view, or a form fill) while a follow-up is pending
- A competitor is mentioned in a call note, email reply or deal field, which triggers a battlecard attachment
- A deal sits in an open stage past its follow-up window with no logged activity
What it reads
- HubSpot CRM (contacts, companies, deals, tasks, sequences, call and email logs, region and time zone properties)
- A compliance-approved language library stored in HubSpot snippets and templates, with an approval date and owner on each block
- Website visitor and intent signals from Warmly or RB2B
- Contact verification and enrichment from FullEnrich, run only when an email bounces or a contact appears to have changed roles
- Public company sources (firm websites, regulatory filings and public registrations, press releases, hiring pages) for the research brief
- Internal battlecards maintained in a shared knowledge base, with compliance sign-off on any comparative claim
How it works, step by step
- Build the regional queueAt the start of each region's day, the agent pulls every overdue and due-today follow-up for that region, then ranks them: replies and no-shows first, then accounts with fresh buying signals, then open deals past their follow-up window, then routine sequence steps. The SDR gets one ordered list per region in HubSpot instead of a mixed backlog, so the far regions are no longer always last.
- Refresh what changedFor each queued account, the agent checks what is new since the last logged touch: leadership or headcount changes, new filings or registrations, announcements, hiring for relevant roles, and recent site activity. Contacts that bounced or appear to have moved are re-verified with FullEnrich. Anything it cannot confirm from a source is marked unverified rather than stated.
- Write the follow-up briefThe agent writes a short brief to a custom HubSpot property and a timeline note: where the conversation stands, what the prospect said last, what changed, the likely next question, and one recommended angle for this touch. Each fact links to its source so the SDR can check it in seconds.
- Attach the competitive angleIf a competitor appears in notes, replies or deal fields, the agent attaches the matching battlecard section: how to position, questions to ask, and objection responses. It only uses comparative points that compliance has already approved, and never invents claims about a competitor's pricing, performance or regulatory standing.
- Draft from approved language onlyThe agent assembles a follow-up email or call script from approved blocks in the language library, filling only defined variables (name, firm, the specific change it found, meeting options). If the right message needs wording that is not in the library, it does not improvise; it flags the gap for compliance and leaves a placeholder.
- SDR reviews, sends and booksThe SDR reads the brief, edits within approved language, and sends from HubSpot so the message is logged and captured by the firm's archiving setup. Replies that show interest route to a Chili Piper booking link set to the right regional calendar and time zone.
- Learn from outcomesWeekly, the agent reports which angles and approved blocks led to replies and meetings by region, which accounts stalled, and which language gaps came up most often, so the SDR and compliance lead can decide what new blocks to approve.
When a person takes over
- The SDR approves and sends every outbound message. The agent drafts and prepares, but a person decides what goes out, which keeps supervision and accountability where regulators expect it.
- The compliance lead approves every new language block, battlecard claim and template before the agent can use it, and reviews any draft the agent flags as needing wording outside the library.
- When a prospect asks about fees, performance, returns, guarantees, regulatory status or anything that sounds like a complaint, the agent stops drafting, tags the record, and routes it to the SDR and the appropriate licensed or senior person to respond.
- When a high-value account or late-stage deal goes quiet, the agent hands it to the account executive or principal with the brief attached rather than adding it to the SDR's routine queue.
Rules it follows
- FINRA and SEC rules: the agent may only use language from the compliance-approved library, never sends autonomously, and every customer-facing message goes out through HubSpot so it is logged and captured for recordkeeping. Any new template, battlecard claim or channel must pass compliance review before it goes live.
- No performance, return, fee or guarantee statements in any draft, and no projections or testimonials unless they exist as an approved block with an unexpired approval date.
- Every fact in a brief carries a source link; anything unverified is labeled as such and never used as the hook in a follow-up.
- No outreach on channels the firm has not approved for recordkeeping (for example personal text or unapproved messaging apps). The agent only drafts for email and logged calls.
- Prospect data stays inside HubSpot and approved tools; the agent does not paste client or prospect details into outside systems that are not covered by the firm's data agreements.
How you know it works
- Share of follow-ups completed within the agreed window, tracked separately for each of the three regions
- Number of overdue follow-up tasks at end of day
- Meetings booked per week by region
- Reply rate on follow-ups that used an agent brief versus those that did not
- Share of drafts sent with no edits outside approved language, and number of language gaps flagged to compliance
From pilot to live
- Pilot: one region, research onlyTurn on queue building and briefs for the region with the worst backlog. Compliance builds the first approved language library and signs off on the battlecards. The SDR uses briefs but writes follow-ups manually while brief accuracy is checked against sources.
- Add drafting across all three regionsEnable approved-language drafts and battlecard attachments for all regions, with region-specific queues timed to local business hours and Chili Piper routing to the right calendars. Compliance spot-checks sent messages weekly against the archive.
- Full rollout and ongoing maintenanceAdd signal-based triggers from Warmly or RB2B, the weekly outcome report, and the escalation path for stalled high-value deals. The builder maintains prompts, data connections, library sync and battlecard updates, and adjusts ranking rules as reply data comes in.

Straight answers.
How does this stay compliant with FINRA and SEC rules if an AI is writing follow-ups?
The agent does not write freely. It assembles drafts only from language blocks your compliance lead has approved, with approval dates on each block, and it cannot send anything. The SDR sends every message from HubSpot so it is logged and captured by your archiving setup. When a message would need new wording, or a prospect raises fees, performance or a complaint, the agent stops and routes it to a person. Any new template or battlecard claim goes through compliance before it can be used.
Will this actually let one SDR keep up with three regions, or just create more to read?
The point is to remove the research and context-hunting, which is where most of the time goes, not to add reading. Each region gets one ranked queue at the start of its business day, and each item comes with a short brief and a ready draft. The SDR's job becomes review, light editing, send and book. Low-priority routine steps sink to the bottom so replies and live signals always get handled first.
What happens when our products, competitors or approved language change?
Under a build and maintain arrangement, the builder updates the battlecards, re-syncs the language library when compliance approves or retires blocks, and adjusts prompts and ranking rules. Retired or expired blocks are removed from the agent's library automatically so it cannot reuse them. The SDR and compliance lead only need to say what changed.
