Hidden trade-buyer workflow agent for DTC ecommerce brands on HubSpot: turns repeat business orders from the consumer checkout into trade-account meetings for one SDR covering three regions

This agent mines the store's order history for businesses already buying through the consumer checkout (cafes, salons, studios, offices, small retailers), confirms they are real business buyers, and runs region-specific nurture in HubSpot that invites them into a trade account. It pauses whenever a buyer has an open order, return or shipping issue, throttles around peak season, and hands the single SDR a short list of trade conversations worth a call, so follow-up stops depending on one person's memory and turns into booked meetings and pipeline.

THE JOB

What The Trade Account Spotter does

A 30-person DTC brand sells mostly to consumers, but a meaningful slice of its repeat orders comes from small businesses buying at retail prices through the normal checkout. Nobody follows up with them because the one SDR covers North America, UK/EU and APAC, and spends most days chasing inbound trade forms across time zones. The Trade Account Spotter works for RevOps and that SDR. It owns finding business buyers hiding in order data, verifying and enriching them, running branching nurture by region and business type toward a trade account, firing booking and SDR tasks at the stages where a call converts, and keeping all of it quiet whenever the buyer has a live support issue or the brand is in peak season. It does not answer order status, returns or shipping questions; those always go to the support help desk.

PLATFORM

Built on HubSpot

The brand already runs HubSpot for marketing email and the SDR's pipeline, so nurture, lifecycle stages, consent properties and deal tracking belong there, and Breeze handles personalization inside approved fields. HubSpot falls short on judging messy order data and on cross-checking the help desk before every send, so a custom AI build orchestrated in n8n does the order scoring, classification and support-state checks, then writes clean properties back to HubSpot. Chili Piper handles multi-region booking better than native meeting links when one rep covers three time zones.

TRIGGERS

What starts it

  • Nightly order sync flags a customer crossing repeat or volume thresholds (for example, several orders in a quarter, multi-unit orders, or a company name or business email domain at checkout)
  • A flagged buyer opens a nurture email, visits the trade or bulk pricing page, or starts the trade application form
  • A help desk ticket for an enrolled buyer is closed and resolved, which releases the nurture pause
  • A seasonal calendar date opens a pre-peak reorder window for a region (holiday stock-up, summer season, regional sale events)
  • A trade application stalls with missing fields or an unbooked call for more than a set number of days
DATA

What it reads

  • Store platform order data (for example Shopify) synced into HubSpot: order count, units, order value, ship-to addresses, company field
  • HubSpot contacts, companies, lifecycle stages, consent properties and marketing email engagement
  • Help Scout conversations and tags for open order, return and shipping issues
  • FullEnrich for business email, phone and company firmographics when the checkout record is thin
  • Approved trade tier sheet and regional terms (currency, minimum order, shipping zones, tax notes) kept in a single reference table
  • Seasonal calendar per region maintained by RevOps
THE WORKFLOW

How it works, step by step

  1. Spot likely business buyers in order dataAn n8n job runs nightly against synced orders and scores each customer on repeat frequency, units per order, shipping to a commercial address, company name at checkout and business email domain. Customers above the threshold get a HubSpot property 'Possible trade buyer' and a region tag based on ship-to country.
  2. Verify and classify before any outreachA custom AI agent reviews the order pattern and enrichment from FullEnrich and classifies the buyer as cafe or hospitality, salon or studio, office, independent retailer, gifting reseller, or 'heavy consumer, not a business'. Heavy consumers are dropped and suppressed from trade nurture. Low-confidence cases go to a RevOps review queue instead of being guessed.
  3. Check support state and consentBefore enrollment, the workflow checks Help Scout for any open ticket tagged order status, return, damage or shipping delay. If one exists, enrollment waits. It also checks the region's consent rules (stricter for UK/EU contacts who bought as consumers) and only enrolls contacts with a valid basis for the trade message.
  4. Run branching trade nurture by region and business typeHubSpot workflows send a short sequence built from approved modules: what a trade account changes (pricing tier, minimums, invoicing, dedicated reorder), proof relevant to their business type, and a reorder-timing note tied to the region's seasonal calendar. Currency, minimums and shipping language swap by region. Breeze drafts per-contact personalization lines inside approved fields only.
  5. Fire booking and SDR tasks at buying stagesWhen a buyer clicks trade pricing twice, starts the application, or replies with a volume question, Chili Piper offers a 15-minute trade call routed to the SDR's slots in that region's business hours. Replies the agent cannot answer from the tier sheet become an SDR task with a one-paragraph brief: order history, estimated annual spend at retail, business type and what they asked.
  6. Recover stalled applicationsHalf-finished trade applications and unbooked calls get a reminder sequence and, after a set window, a single SDR task ranked by order value. The SDR sees one ranked list per region each morning instead of three inboxes.
  7. Throttle for season and log everythingDuring peak weeks set by RevOps, new enrollments pause, only high-score buyers get booking offers, and send volume drops so support is not flooded with confused replies. Every send, pause and handoff is logged on the HubSpot record for review.
HUMANS IN THE LOOP

When a person takes over

  • SDR takes over when a buyer requests a call, asks about volume pricing beyond the published tiers, or replies with anything that reads as a real negotiation, because pricing commitments need a person.
  • Support team owns any reply or ticket about order status, returns, damages or shipping; the agent routes it to Help Scout, pauses nurture and never answers it itself.
  • Finance or the ops lead approves requests for net payment terms, credit, or custom shipping arrangements before the SDR confirms anything.
  • RevOps reviews low-confidence classifications, consent edge cases and any buyer whose region is unclear from shipping data.
GUARDRAILS

Rules it follows

  • No trade nurture goes to any contact with an open order, return or shipping issue in the help desk; outreach resumes only after the ticket is resolved, so the brand never pitches someone waiting on a refund.
  • The agent never answers where-is-my-order, return or delivery questions; it forwards them to support with the order number and stops.
  • Prices, minimums and terms come only from the approved trade tier sheet for that region; anything outside it becomes an SDR or finance task.
  • Consumer buyers in stricter-consent regions are only contacted with a valid basis recorded in HubSpot, and every unsubscribe suppresses both trade and consumer marketing as configured.
  • Peak-season throttle is mandatory: RevOps sets the dates and the agent cannot override them, so sales outreach never competes with support capacity during the busiest weeks.
KPIS

How you know it works

  • Trade-account meetings booked per week, by region
  • Pipeline and first trade orders created from buyers originally found in consumer order data
  • Share of flagged business buyers who receive a first touch within the target window
  • SDR time spent on manual follow-up versus live trade calls
  • Count of nurture sends blocked because of open support tickets (should be zero sends to anyone with an open ticket)
ROLLOUT

From pilot to live

  1. Pilot: one region, back data onlyRun detection on the last year of orders for the SDR's largest region, have RevOps review every classification for two weeks, and send nurture only to verified business buyers with clean support history. Tune thresholds until the SDR agrees the list is worth calling.
  2. Expand to all three regions with bookingTurn on region-specific modules, currency and terms, Chili Piper routing by time zone, the stalled-application recovery path and the morning ranked list. Add the seasonal calendar and test the peak throttle before the first busy period.
  3. Run and maintainOngoing ownership by the build partner: refresh thresholds after each season, update tier sheets and modules when pricing changes, watch deliverability and pause logic, and review a monthly report of meetings, pipeline and blocked sends with RevOps.

Questions about this agent

Good questions.
Straight answers.

Is it safe to email people who bought as consumers about a trade account?

Only where you have a valid basis. The agent checks each contact's region and consent properties before enrolling, applies stricter rules to UK/EU buyers, and skips anyone it cannot clear. Your legal or privacy lead should sign off on the consent rules during the pilot.

What happens in Q4 when support is buried in shipping questions?

RevOps sets peak dates and the agent automatically stops new enrollments, keeps booking offers only for the highest-value buyers, and holds anyone with an open ticket. Any customer reply about an order goes straight to support. Sales outreach picks up again after the peak window closes.

How does it tell a small business from a consumer who just buys a lot?

It combines order patterns (frequency, units, commercial ship-to addresses), checkout company fields, business email domains and enrichment. Buyers that look like heavy consumers are suppressed, and anything uncertain goes to a human review queue rather than into a sales sequence.

RevOps / operations · Healthcare / life sciencesCold demo-request rescue workflow agent for small healthcare software vendors on HubSpot: role-split recovery nurture and stage triggers for clinical, IT and finance buyersThis agent works the demo requests that a next-day reply already lost: it sweeps unbooked and stalled requests in HubSpot, figures out who the requester is in the buying group (clinical lead, IT and security, operations or finance), and runs role-specific recovery nurture that answers the question actually stopping each one from booking. It fires rep, security and clinical-review handoffs at the stages where a meeting can move, so fewer requests die between form fill and first call and more become pipeline, with PHI kept out of every prompt and log.RevOps / operations · Financial servicesPlan-year-timed second-touch workflow agent for retirement plan advisory firms on HubSpot: backlog waves sized to advisor calendars and a permanent no-single-touch ruleThis agent drains a backlog of thousands of one-touch employer leads in HubSpot in controlled waves, sized to how many meetings the registered advisors can actually take each week and timed to each employer's plan-year window. It also installs a standing rule so no new lead ever stalls after one touch, and every message comes from a compliance-approved library and is archived, so more meetings and pipeline come without new recordkeeping risk.RevOps / operations · Manufacturing / industrialProject-timed nurture workflow agent for small industrial manufacturers on HubSpot: clears the post-show lead backlog and follows each buyer's spec and approval timelineThis agent clears the weeks-old pile of trade show leads at an 11 to 50 person industrial manufacturer, then runs nurture that follows each buyer's project timeline (spec, submittal, quote, approval) instead of a generic drip. It watches for spec-stage signals like drawing downloads, sample requests and quote questions, checks the ERP and distributor coverage, and fires a rep, engineer or channel-partner handoff at the moment a meeting can actually move pipeline.
