Webinar engine build for a small B2B SaaS marketing team on HubSpot
This build sets up a repeatable webinar system on HubSpot, covering registration pages, promotion and reminder emails, live production, segmented follow-up and repurposing, so a small marketing team can run webinars without rebuilding everything each time. It connects webinar attendance and engagement to contacts, trials and deals so every session feeds pipeline and product adoption instead of ending as a recording nobody watches.

What The Webinar Engine delivers
A SaaS company of 11 to 50 people has a marketing team of one to three who want webinars to be a steady pipeline and activation channel, but today each session would mean building a page by hand, exporting a CSV of registrants, writing reminders from scratch, and leaving the recording on a drive. Prospects research heavily before talking to sales, trial users need nudges toward activation, and customers need expansion education, so one webinar can serve three audiences if the data is wired correctly. This build delivers a templated, connected system: a webinar platform (Demio) synced to HubSpot, cloned landing page and email templates, a webinar object and properties in HubSpot, attendance-based follow-up workflows split by lifecycle and trial status, a production kit for recording in Riverside or StreamYard, and a repurposing pipeline that turns each session into clips, a blog post and a newsletter section. Marketing owns and runs it after handoff. Once the foundation is live, a custom AI agent or Breeze agent can sit on top to draft promotion copy, summarize Q&A for sales, and produce repurposed content from the transcript.
Built on HubSpot
The company already runs HubSpot, so the engine should live there: forms, landing pages, emails, workflows, campaigns and attribution are all native, and keeping registration on HubSpot means one consent record and one source of truth for sales. HubSpot is not a webinar host, so Demio handles the live room and writes engagement back through its native integration, Riverside or StreamYard handle clean recording, and n8n fills the gap of getting product usage and trial status into HubSpot, which matters for a mixed product-led and sales-led motion. Breeze features and a custom AI agent on top suit a small team because they cut drafting work without adding another system to maintain.
Signs it is time
- The team wants to run webinars at least monthly but each one takes days of manual setup and list exports
- Registrants and attendees live in a webinar tool export and never reach HubSpot with usable properties
- Sales cannot tell which accounts attended, what they asked, or whether they are in a trial
- Recordings sit unused after the live session with no clips, posts or on-demand page
- Leadership wants to see webinar-sourced and webinar-influenced pipeline and trial activation
Systems and data
- HubSpot Marketing Hub (landing pages, forms, emails, workflows, lists, campaigns)
- HubSpot CRM contacts, companies and deals, including lifecycle stage and owner
- Demio registration, attendance, watch time, poll and Q&A data via native HubSpot integration
- Product usage and trial status synced into HubSpot properties (from the product database or a product analytics tool via n8n)
- Recording and transcript files from Riverside or StreamYard
- Calendar and booking data from Chili Piper for post-webinar demo requests
How it gets built, step by step
- 1. Set the data foundation in HubSpotCreate a webinar naming convention, a HubSpot campaign per session, and contact properties for last webinar registered, last webinar attended, attendance status (registered, attended, no-show, watched on demand), watch time band and webinar topic interest. Confirm trial status, plan tier and product-qualified flags already exist as HubSpot properties; if not, build an n8n sync from the product database so follow-up can branch on them.
- 2. Connect the webinar platformSet up Demio as the hosting layer and connect it to HubSpot so registrations created on HubSpot forms push to Demio, and attendance, watch time, polls and questions write back to the contact timeline. Use a HubSpot form on a HubSpot landing page (headless registration) rather than the platform's hosted page, so tracking, consent and progressive profiling stay in one place. Test end to end with internal registrants before going live.
- 3. Build landing page and email templatesBuild one cloneable landing page template (topic, speakers, three takeaways, agenda, form) and a thank-you page with add-to-calendar and a soft product CTA. Build the email set once: invite, second invite, last-chance, confirmation, reminders at one week, one day and one hour, and post-event emails. Use personalization tokens and smart content so customers, trial users and prospects see different invite copy for the same session.
- 4. Build promotion and reminder workflowsCreate a HubSpot workflow template that enrolls on form submission, sends confirmation, schedules reminders relative to the webinar date property, and suppresses anyone who unsubscribed or is a competitor domain. Add a promotion checklist: segmented invite lists by lifecycle and persona, social posts scheduled in SocialBee, a sales-shareable invite link with UTM, and optional paid or partner promotion.
- 5. Build the production kitDocument the run of show: speaker brief template, slide template, tech check 48 hours out, roles (host, presenter, moderator watching Q&A and chat), polls loaded in advance, and a backup recording in Riverside so the clean file is usable for repurposing. Store the kit in a shared doc so any team member can produce a session.
- 6. Build segmented follow-up and sales routingAfter the session, branch HubSpot workflows by attendance and lifecycle: attendees get the recording plus a next step matched to their stage (trial users get an activation guide, prospects get a demo offer via Chili Piper, customers get the relevant expansion feature). No-shows get the on-demand link. High-intent signals (demo poll answer, pricing question, high watch time from a target account) create a task for the owner with the questions they asked attached.
- 7. Build the repurposing pipelineFrom the recording and transcript, produce an on-demand landing page (gated with a short form or ungated, by choice), three to five short clips edited in Descript, a blog post drafted from the transcript, a newsletter section, and a short FAQ block from real audience questions. Castmagic can turn the transcript into first drafts of posts and show notes; a human edits for accuracy and voice before publishing.
Where your team weighs in
- Marketing decides the topic calendar and target audience per session (prospect education, trial activation or customer expansion), since that choice drives the invite list, CTA and follow-up branch
- Sales leadership agrees which post-webinar signals create a sales task versus stay in nurture, so reps are not flooded with low-intent attendees
- Product or customer success approves any session that shows roadmap, pricing or unreleased features before promotion starts
- Marketing reviews and approves all AI-drafted clips, posts and recaps before anything is published or sent
How we keep it right
- Every follow-up branch checks trial and customer status first, so an active trial user is never sent a generic 'book a demo' email and a paying customer is never pitched a plan they already have
- Registration form submissions must create or update a HubSpot contact with consent recorded before any data reaches the webinar platform, and test registrations are run before each launch
- Reminder workflows use the webinar date property, not hard-coded dates, and a pre-launch check confirms time zones, join links and suppression lists
- Sales tasks only fire on defined intent signals and include the attendee's actual questions, never an AI guess at what they meant
- Repurposed content must match what was said in the recording; any product claim or metric mentioned is verified with the product owner before publishing
How you know it works
- Hours of marketing time per webinar from setup to follow-up, tracked across the first several sessions
- Registration-to-attendance rate and on-demand views per session
- Share of attendees with complete HubSpot attendance and engagement data (target: all of them, with no manual CSV imports)
- Webinar-influenced pipeline and meetings booked within 30 days, reported from HubSpot campaigns
- Trial activation rate for trial users who attended versus those who did not
From pilot to live
- Phase 1: Foundation and first sessionSet up properties, campaign structure, Demio integration, one landing page template and the core email and reminder workflow. Run one prospect-focused webinar end to end, fixing sync and timing issues live.
- Phase 2: Segmented follow-up and repurposingAdd lifecycle and trial-based follow-up branches, sales task rules, the Chili Piper booking step and the repurposing pipeline. Run a second session aimed at trial users or customers to test the branching.
- Phase 3: Handoff and agent layerDocument the runbook, train the marketing team to clone and launch a session alone, and set up a reporting dashboard. Add a Breeze agent or custom AI agent to draft invites from a topic brief, summarize Q&A per account for owners, and produce first-draft repurposed content from transcripts.

Good questions.
Straight answers.
Why register on a HubSpot page instead of the webinar tool's own page?
Keeping the form on HubSpot means tracking, consent, progressive profiling and attribution all land on the contact record immediately, and you can reuse one page template across sessions. The webinar platform just receives the registrant and returns attendance data. The trade-off is a slightly more complex setup, which is done once.
How does follow-up handle trial users differently from prospects?
The workflow reads trial status and product-qualified flags synced from your product into HubSpot. Trial users who attend get help activating the feature shown in the session and an offer to talk to someone if they are stuck, prospects get a demo booking link, and customers get guidance on the related feature or plan. If product data is not yet in HubSpot, that sync is built in Phase 1 because the branching depends on it.
Can a team of two really run this monthly after handoff?
Yes, if the templates and runbook are used as designed: cloning a session means changing the topic, date and speakers, choosing an audience list, and doing the tech check. The time-consuming parts (reminders, list syncing, follow-up, sales alerts) run automatically, and an AI agent can draft invites and repurposed content for review. The team still owns topic choice, speaker prep and final approval of anything published.
