Webinar producer agent for small B2B SaaS marketing teams on Salesforce

A custom AI agent that turns a one-line webinar brief into a full production kit (registration page, promotion and reminder emails, run of show, panel questions, follow-up and repurposing drafts) on a fixed timeline, synced to Salesforce Campaigns and the webinar platform. Promotion starts on schedule instead of a week out, and every registrant and attendee lands in Salesforce with the context sales and product need.

THE JOB

What The Producer does

A marketing team of two or three at a 11 to 50 person SaaS company runs webinars to feed both trial signups and sales pipeline. Today every event is built from a blank page: someone rewrites the landing page, hunts for last quarter's email copy, drafts panel questions the night before, and promotion starts about a week out because nobody owned the calendar. The Producer owns the production layer. When a topic is approved, it works backward from the event date to build a promotion timeline, drafts every page and email from a maintained template library and brand voice guide, creates and links the Salesforce Campaign and the webinar event, writes the run of show and panel questions, and after the event drafts segmented follow-ups and repurposed content from the transcript. Humans keep topic choice, speaker relationships, final approval and anything that goes to customers on behalf of sales. Under a build and maintain arrangement, the templates, integrations and prompts are kept working as the webinar platform, Salesforce fields and brand messaging change.

PLATFORM

Custom build

The team runs Salesforce, so HubSpot Breeze agents do not apply here. A custom AI build fits better: it can read and write Salesforce Campaigns and Campaign Members directly, pull trial and usage fields that decide how each registrant is treated, and connect to the webinar platform through n8n so the whole flow is visible and editable. A small team does not need an enterprise marketing automation layer to get this; the agent drafts content and handles the sync, existing email tools send, and Salesforce stays the single record of who registered, attended and converted.

TRIGGERS

What starts it

  • A webinar brief is submitted through the intake form (topic, date, speakers, target audience, goal: trials, pipeline or expansion)
  • A Salesforce Campaign of type Webinar is created or its status moves to Planned
  • A timeline checkpoint is reached (for example 4 weeks, 2 weeks, 1 week, 1 day and 1 hour before the event)
  • Registration pace falls below the target set in the brief at a checkpoint
  • The webinar ends and the recording and transcript become available in the webinar platform
DATA

What it reads

  • Salesforce (Campaigns, Campaign Members, Leads, Contacts, Accounts, Opportunities, plus trial and customer status fields)
  • Webinar platform such as Demio (events, registrants, attendance, polls, Q&A, chat, recordings)
  • Product usage data synced to Salesforce or a warehouse (trial stage, active features, plan tier)
  • Template library and brand voice guide in a shared doc or Airtable base (past pages, emails, run of show formats, approved claims)
  • Past webinar performance (registration sources, attendance rate, follow-up engagement) pulled from Salesforce reports
  • Speaker bios, slides and talking points supplied with the brief
THE WORKFLOW

How it works, step by step

  1. Turn the brief into a production planThe agent reads the brief, picks the matching template set (product demo, thought leadership panel, customer story), and builds a dated timeline working back from the event date so promotion starts at least four weeks out. It posts the plan to the marketing channel with owners and due dates, and flags immediately if the date leaves less than the minimum promotion window.
  2. Set up the event and the CampaignThrough n8n, it creates the event in Demio, creates or updates the Salesforce Campaign with the right type, dates and member statuses (Registered, Attended, Watched Replay, No Show), and wires the registration sync so every signup becomes a Campaign Member matched to an existing Lead or Contact rather than a duplicate.
  3. Draft pages, emails and the reminder ladderIt drafts the registration page copy, three to four promotion emails with segment variants (prospects, active trials, current customers), social posts for speakers, and a reminder ladder (confirmation, one week, one day, one hour, starting now) using the brand voice guide and approved claims list. Drafts go to a review queue, never straight to send.
  4. Watch registration pace and suggest fixesAt each checkpoint it compares registrations against the target and the pace of past events, breaks results down by source and segment, and proposes specific actions (an extra send to a segment that has not been reached, a speaker post, an in-app banner for trial users). A human picks which ones to run.
  5. Build the run of show and panel questionsOne week out it drafts a minute-by-minute run of show (intro, polls, segment timing, Q&A, call to action) and a panel question set ordered from broad to specific. It pulls themes from registration form answers and the industries and roles of registrants so questions match who is actually showing up, and includes backup questions for quiet Q&A.
  6. Draft segmented follow-up after the eventWhen attendance and the transcript arrive, it updates Campaign Member statuses in Salesforce, then drafts follow-ups by segment: attendees who asked buying questions or engaged with demo polls, attendees on active trials, existing customers, no-shows (replay). It writes a short summary per high-intent attendee for the account owner, with the questions they asked.
  7. Produce repurposing draftsFrom the transcript and recording it drafts a recap blog post, a short email for the newsletter, five to eight social posts, and timestamps for clips. Clip selection and editing can run through Castmagic and Descript. Everything lands in the content queue for review.
HUMANS IN THE LOOP

When a person takes over

  • Topic and speaker approval: a marketer confirms the topic, speakers and goal before the agent builds anything, because the agent should not pick positioning or commit an external speaker's time.
  • Final copy approval: every page, email and social post is approved by a person before it publishes or sends, especially anything mentioning pricing, roadmap or customer names.
  • High-intent attendees: when an attendee asks about pricing, migration or a competitor, or engages with the demo poll, the agent routes a summary to the account owner or SDR in Salesforce instead of sending a sales-style follow-up itself.
  • Sync errors and edge cases: if a registrant cannot be matched confidently to a Lead or Contact, or the webinar platform and Salesforce disagree on counts, the agent opens a task for the marketing ops owner rather than guessing or creating duplicates.
GUARDRAILS

Rules it follows

  • Segment by lifecycle before sending: active trial users and paying customers get product-relevant messaging tied to their usage stage, and are never put into prospect nurture or cold sales sequences after the event.
  • No unapproved claims: the agent only uses product capabilities, metrics and customer references from the approved claims list, and never mentions roadmap items, pricing or discounts unless they are in the brief.
  • Nothing sends without approval: the agent creates drafts and scheduled sends in a paused state, and a named approver releases them.
  • Respect consent and suppression: it honors Salesforce opt-out fields and unsubscribe status on every send, and only uses registrant data for the purposes stated on the registration page.
  • Write to Salesforce only in defined fields: Campaign, Campaign Member status, and task or note objects. It does not change Lead status, ownership or Opportunity stages.
KPIS

How you know it works

  • Days of promotion before each event (target: the full planned window, with no events starting promotion inside two weeks)
  • Marketer hours spent per webinar from brief to follow-up sent
  • Registration-to-attendance rate by segment (prospects, trials, customers)
  • Time from webinar end to follow-up sent and repurposed content published
  • Webinar-influenced trial conversions, new opportunities and expansion opportunities tracked through Salesforce Campaign influence
ROLLOUT

From pilot to live

  1. Pilot: one webinar, production onlyLoad the template library, brand voice guide and approved claims, connect Demio and Salesforce Campaigns through n8n, and run one upcoming webinar end to end with the agent drafting everything and humans approving each piece. Fix gaps in templates and field mapping.
  2. Expand: segmentation and pace monitoringTurn on lifecycle segmentation using trial and customer fields, registration pace alerts, run of show generation, and high-intent routing to account owners. Run the next two or three webinars this way and tune follow-up variants based on engagement.
  3. Steady state: full calendar and repurposingPlan the quarterly webinar calendar from the agent's timelines, add repurposing to the content queue, and report webinar influence on trials, pipeline and expansion in Salesforce dashboards. Ongoing maintenance covers template refreshes, integration updates and prompt tuning as messaging and tools change.

How we build The Producer (webinar builder agent) ↗

Questions about this agent

Good questions.
Straight answers.

How does it treat trial users and existing customers differently from prospects?

It reads lifecycle and usage fields from Salesforce at the time of each send. Active trial users get messaging tied to where they are in the trial (for example, the feature the webinar covers they have not tried yet), customers get adoption or expansion angles, and only prospects get the standard nurture path. If those fields are missing or stale for a record, it defaults to the safest segment and flags the gap.

Will this fix our last-minute promotion problem or just write faster?

Both, but the timeline matters more. The agent builds the schedule backward from the event date as soon as the brief is approved, assigns owners, and nags at each checkpoint. If someone books a webinar with too short a runway, it says so before any work starts, so the team can move the date or accept a smaller audience knowingly.

What happens when our webinar platform or Salesforce setup changes?

Under build and maintain, changes like a new Campaign Member status, a renamed trial field, or a switch of webinar platform are handled in the n8n workflows and agent configuration, and templates are refreshed as messaging evolves. The team keeps approving content; it does not have to debug integrations.
