Dormant pipeline re-engagement for a B2B growth agency
Re-engages past registrants, closed-lost deals and lapsed contacts with one specific reason to return. Each touch offers a different service angle and asks for a short strategy call.

THE PLAY / FOR A B2B DEMAND GENERATION AND AI AGENT SERVICES FIRM
Trigger
Contacts enroll automatically when they are added to a dormant pipeline list built from closed-lost deals and past registrants, or when days since last engagement is more than 180.
Audience
Past webinar registrants, closed-lost deals, cold leads and lapsed email engagers at B2B SaaS and services companies. Typical roles are heads of growth or demand generation, founders or managing partners at services firms, and RevOps or marketing operations managers.
Signals the agent reads
- Deal stage is closed lost, with notes
- Webinar registration or playbook form in form history
- Days since last email engagement over 180
- Membership in the dormant pipeline list
- Negative signals such as unsubscribed, bounced or marked as spam, which block sending
Selling angle
Someone who registered for a webinar or spoke with the team before already knows the company, so a timely reason to return costs less than sourcing a new account. The agent picks one of three angles for each contact: a repeatable webinar system, a read-only HubSpot portal audit, or RevOps cleanup and HubSpot admin. Each one answers a problem these buyers already had.
Outreach approach
Five touches, three days apart, each with a different angle. Touch one names the specific reason from the record, touch two offers a practical first move such as the webinar playbook or a portal audit, touch three shares one RevOps fix, touch four asks whether the timing was wrong, and touch five is a one-line close asking whether to stop. The outreach stops when the contact replies, books a meeting, unsubscribes or reaches the fifth touch.
- 01 / DAY 1Specific reason to returnOpens with the webinar, deal stage or download in the record and asks for a 30-minute strategy conversation on the most relevant angle.
- 02 / DAY 4Practical first moveOffers the webinar playbook or a read-only portal audit as a low-effort next step, with one question.
- 03 / DAY 7RevOps exampleShares one operational fix, such as stale properties or broken routing, and links the RevOps cleanup service in descriptive words.
- 04 / DAY 10Timing checkAsks whether the timing was wrong and offers a different angle, without guessing why the earlier conversation stopped.
- 05 / DAY 13One-line closeAsks in one line whether to stop sending, and leaves the door open without pressure.
Advanced instructions (excerpt)
You write for [Company], a team of senior operators who design, build and run AI agents, HubSpot setups, webinar programs and RevOps for growth and marketing leaders at B2B companies. Sound like a person on that team: plainspoken, direct and candid about what breaks. Write only to dormant or past contacts. Read the contact record, associated companies, deals and engagement timeline first. If the contact is a current customer, has an open deal, or submitted a form in the last 30 days, write nothing. If an earlier conversation went quiet, acknowledge that history in one sentence without guessing why it stopped. If the record shows no history, write a first approach with no invented history. If you cannot tell which case applies, do not write. Choose one angle per touch: a repeatable webinar system, a read-only portal audit, or RevOps cleanup and HubSpot admin. Do not pitch new-logo outbound. Use only verified proof points from the company's own materials and never invent names, quotes or results. Never state prices, discounts or credits. Keep subject lines under six words, in sentence case, with no exclamation marks. The first touch runs 120 to 180 words and later touches 60 to 110 words, in plain text with one question and one link. Close with Thanks on its own line, then the sender's first name.

SUBJECT Your webinar notes from last time
Hi [First name], You registered for one of our webinars a while back, and the team has run many since then. Most teams lose the thread after the event, not during it. If your team still runs webinars by hand, a repeatable monthly webinar system covers season planning, registration pages, follow-up from registration, live production and replays. You can read how it works on the services page. Would Tuesday or Thursday at 10 a.m. Central work for a 30-minute strategy conversation about it? Or grab a time that works on the contact page. Thanks,
Guardrails
- Never write to current customers, contacts with an open deal, or contacts who submitted a form in the last 30 days.
- Never pitch new-logo outbound or outbound prospecting services in this play.
- Never state a price, discount, credit or HubSpot pricing claim.
- Never send more than five emails to one contact.
- Route any reply that asks about pricing, scope or contract terms to a person.
- Never mention how many emails have been sent, and never open with a phrase about chasing or ignored emails.
Setup in HubSpot
- Create two automated enrollment rules: added to the dormant pipeline list, and days since last engagement more than 180.
- Map both rules to this play with the Adaptive method and Send without review, so emails send automatically.
- Exclude current customers, contacts with open deals, recent form submitters, unsubscribed contacts and bounced contacts.
- Set a client services lead as the fallback sender and limit sends to Tuesday to Thursday, 8 to 11 a.m. Central Time.
- Launch together with the other plays.
KPIs
- Replies and booked 30-minute strategy conversations from re-engaged contacts, tracked in performance reporting.
- Bounce rate, kept under 3 percent.

Good questions.
Straight answers.
Why not send to every old contact?
Only records with a clear history get an email. The agent writes nothing when it cannot tell which case applies, which protects sender reputation.
What happens when a contact asks about pricing?
The reply goes to a person. The agent does not answer questions about pricing, scope or contract terms.
Who answers the replies?
A person on the team handles every reply that comes back, so the agent never answers a prospect unsupervised.
