THE PLAY / FOR A MID-MARKET B2B SAAS COMPANY

01

Trigger

Prospecting Agent monitors a company segment built from the ideal customer profile and recommends contacts when a Funding, Hiring or Job started signal fires, with up to 10 suggestions a day.

02

Audience

Heads of revenue operations, sales operations and sales at venture-backed companies of 50 to 1,000 employees in the ideal customer profile that raised a round or posted several roles in the team that would use the product in the last 60 days.

03

Signals the agent reads

  • Funding
  • Hiring
  • Job started
  • Growth metrics
  • Industry
  • Company size
04

Selling angle

A new round or a hiring push means the team will double before its process does. The play connects that specific event to the operational problem that follows it, such as routing, forecasting or onboarding new reps, and offers a short look at how similar teams handle it. The signal is the reason to write today, not a compliment to open with.

05

Outreach approach

Five emails, sent automatically, at least three days apart. The first ties the signal to one operational problem and asks one question. The next four each change the angle: a benchmark, a self-serve tour, a narrow question about their process, and a short close. The agent writes nothing when the only signals are negative, such as layoffs.

  1. 01 / DAY 1Signal noteNames the event, the problem that usually follows it for a team of this size, and asks one question about their current process.
  2. 02 / DAY 4BenchmarkShares a public benchmark or common pattern for teams at their stage, with no invented numbers.
  3. 03 / DAY 7Self-serve optionOffers a product tour they can take alone, linked on descriptive words, for readers who prefer to look first.
  4. 04 / DAY 10Narrow questionAsks one specific question about how they route or forecast today, with the meeting link.
  5. 05 / DAY 13Short closeA two-sentence note that leaves the door open and asks whether the timing is better next quarter.

Advanced instructions (excerpt)

SIGNAL DETECTION: The active signals are Funding, Hiring, Job started and Growth metrics. Funding or Growth metrics: lead with how the team will grow and the process strain that follows. Hiring in sales or revenue operations: lead with onboarding new reps and keeping routing fair. Job started in a revenue operations or sales leadership role: lead with the first 90 days and what a new leader usually audits first. Check Industry, Company size and Lifecycle stage. If the only signals are negative, such as Layoff or Office closure, write nothing. If there is no signal and no usable record data, do not send. HOW TO REACH OUT: Five emails at least three days apart: the signal note, a benchmark, a self-serve tour, a narrow question and a short close. First email 120 to 170 words, later emails 60 to 110 words, one question and one link each. Do not invent revenue figures, customer names or results. Never use em dashes or en dashes.

SUBJECT Routing after the Series B

Hi [First name], Congrats on the Series B at [Company]. When a sales team grows from 15 to 40 reps in a year, lead routing is usually the first thing that breaks: territories get uneven and new reps wait for pipeline. Most revenue operations leads in your spot ask two things: how to keep assignment fair as headcount changes, and how to see speed to lead by rep without a spreadsheet. How are new inbound leads assigned today? If it would help, grab a time that works and I will show how teams your size set it up. Thanks,

08

Guardrails

  • Write only when a positive signal or usable record data exists; never on layoffs or closures alone.
  • Never invent statistics, customer names, quotes or results.
  • No discounts, no competitor mentions and no claims of guaranteed outcomes.
  • Check the record first and write nothing to customers or contacts in an open deal.
  • Stop on a reply, a booked meeting, an unsubscribe, a bounce or after 30 days.
09

Setup in HubSpot

  1. Build the monitored company segment from the ideal customer profile: industry, size and region.
  2. Turn on the Funding, Hiring, Job started and Growth metrics signals for this play only.
  3. Set daily contact suggestions to 10 while signal volume and credit spend are unknown.
  4. Add exclusion segments for customers, open deals and competitors.
  5. Set Send without review, pick the meeting link in the Call to action dropdown and a business-hours send window, and switch it on with the other plays.
10

KPIs

  • Meetings booked per 100 recommended contacts
  • Reply rate by signal type
  • Credits spent per meeting booked
  • Bounce rate kept under 3 percent

Questions about this play

Good questions.
Straight answers.

Why start at 10 suggestions a day?

Every recommended contact costs credits, and signal volume varies by segment. Starting low shows which signals book meetings before you spend more.

Why five emails?

Most replies to signal outreach come after the first email. Five touches with a new angle each give the signal time to land without repeating the pitch.

Which signal works best?

It depends on the product. Track reply rate and meetings by signal type for the first 30 days and turn off the signals that do not convert.
