THE PLAY / FOR AN IT, ENGINEERING AND LIFE SCIENCES STAFFING AND AI CONSULTING FIRM
Trigger
Enrolls by automation rule almost instantly when a known contact views the staffing, AI or migration service pages or the hiring cost article, or submits the site contact form. Booked meetings enroll once the CRM records them as a form submission or list entry.
Audience
Engineering or IT hiring managers and AI, data or infrastructure program owners at enterprise, federal and state organizations. Only known contacts in the CRM with one of those job titles qualify.
Signals the agent reads
- Page viewed: staffing page
- Page viewed: AI or migration service pages
- Page viewed: hiring cost article
- Contact form Intent field (hiring or consulting)
- Meeting booked
- Job title: hiring manager or program owner
Selling angle
A vacant seat slips projects, and a bad hire means paying the full hiring cost twice, so hiring managers care about vetting before submission. Program owners stall when AI pilots never reach governed production or when compliance blocks them. The firm places specialists and delivers consulting under one accountable team, so the buyer deals with one group. Each touch names the exact page or form the contact used.
Outreach approach
Touch one names the page or form the contact used, adds one proof point, and asks for a 30-minute call on two named days. Later touches each take a new angle, such as the cost of an open seat, governance and delivery results, a practical question about the timeline, and a new frame for the call. Touch five says the team will stop writing unless the contact wants a conversation. Any reply, booking, unsubscribe or bounce stops the outreach.
- 01 / DAY 1First touchNames the page or form the contact used, adds one proof point, and asks for a 30-minute call on two named days.
- 02 / DAY 3Cost of an open seatUses the hiring cost article to frame vacancy and mis-hire cost for hiring managers, or governance and delivery results for program owners.
- 03 / DAY 5Timeline questionAsks one practical question about the open seat or the program timeline.
- 04 / DAY 7Call in a new frameOffers the 30-minute call again in a different way and includes the self-serve booking option.
- 05 / DAY 9Final noteSays the team will stop writing unless the contact wants a conversation.
Advanced instructions (excerpt)
SUBJECT LINE: Use short, plain subjects with no question marks, exclamation marks or emoji. Match the subject to the page or form the contact used. On follow-ups, reply in the same thread with the same subject. EMAIL LENGTH: The first touch runs 120 to 180 words in plain text with short paragraphs, one question and one link. Later touches run 70 to 120 words. If you cannot fill the first touch with specifics about [Company], do not send. WHAT EVERY EMAIL MUST CONTAIN: One specific detail from the page or form the contact used, one proof point, one descriptive link to the most specific page for that topic, and one ask for a 30-minute call. CHECK THE RELATIONSHIP FIRST: Read the contact record. If someone at [Company] has already replied or an open deal exists, write nothing. If the record shows no prior history, write a first approach with no invented history. If you cannot tell which case applies, do not write.

SUBJECT Talent for your engineering team
Hi [First name], You looked at our IT staffing page and the true cost of hiring article this week. Most hiring managers we talk to are not short of candidates. They are short of time to screen them. Our recruiters vet every candidate against the technical bar for the role, then send a shortlist with honest notes on fit and trade-offs. You choose contract, contract-to-hire or direct hire, and you never receive an unreviewed match. Would Tuesday or Thursday afternoon, Eastern Time, work for 30 minutes to talk through the open seat? If neither works, grab a time that works. Thanks,
Guardrails
- Never write to job seekers or candidates, and exclude them from enrollment.
- Never state a price, rate, discount or government schedule figure.
- Never name a client, partner or competitor.
- Never discuss security audits, validation scope, regulated claims or contract terms. Say a team member will answer on a call.
- Never promise results for a specific candidate, consultant or project.
- Never use exclamation marks or em dashes.
Setup in HubSpot
- Create an enrollment rule for page views of the staffing, AI and migration service pages and the hiring cost article, and for submissions of the site contact form, limited to known contacts with a hiring manager or program owner job title.
- Exclude job seekers, unsubscribed contacts, bounced contacts, and contacts already in an open deal or customer record.
- Set the play to Adaptive outreach with Send without review so emails send automatically.
- Set the sender to a sales lead at the firm and the send window to business days, 8:00 AM to 5:00 PM Eastern Time.
- Launch together with the other plays.
KPIs
- Share of enrolled contacts who reply or book a 30-minute meeting within 30 days, reviewed weekly.
- Minutes from page view or form submission to first email, reviewed weekly during the first two weeks of testing.

Good questions.
Straight answers.
Why does the first email go out so fast?
The play fires on the page view or form, so the first touch lands within minutes while the topic is fresh.
What happens if someone on the team already replied?
The agent reads the contact record first and writes nothing if a person has already replied or an open deal exists.
Are public-sector buyers included?
No. Public-sector buyers belong to a separate outreach play, so this play excludes them.
