THE PLAY / FOR A FINE ART, ANTIQUES AND ESTATE JEWELRY RETAILER WITH AN ONLINE STORE AND GALLERIES
Trigger
Automated enrollment when a contact is added to a list of past buyers and catalog subscribers, or when days since last engagement exceeds 180. Enrollment runs as contacts meet the rule.
Audience
Past buyers, catalog subscribers and lapsed email contacts who are private collectors of fine art, antiques and estate jewelry. Museum and interior design contacts are excluded.
Signals the agent reads
- Last purchase date
- Last purchase category
- Catalog subscription status
- Last engagement date
Selling angle
Collectors who bought before or subscribed to a catalog already trust the gallery's vetting of authenticity, condition and provenance. Many pieces are one-of-one and Price Upon Request, so a consultant conversation is the natural next step rather than a cart reminder. The message draws on the collecting area the contact already follows.
Outreach approach
Five touches, each at least three days apart, each with a different angle. The first names the category last bought or the catalog, the second offers a new arrival in that category with a consultant call, the third describes the catalog and links to its page, the fourth invites a visit to a gallery without inventing dates, and the fifth is a short, open note with no pressure. Outreach stops when the contact replies, books, unsubscribes, or after five emails.
- 01 / DAY 1Reconnect with the collecting areaNames the category the contact last bought or the catalog they subscribed to, and acknowledges that history in one line. Invites a reply or a short call with a gallery consultant.
- 02 / DAY 4New arrival and consultant callOffers a new arrival in the same category and proposes two named days for a 20-minute call with a gallery consultant. Offers a self-serve time option.
- 03 / DAY 7Catalog overviewDescribes the full-color catalog published four times a year and links to its page. Notes that subscribers receive new acquisitions in their collecting areas.
- 04 / DAY 10Gallery visit invitationInvites the contact to visit one of the galleries to see pieces in person with a consultant, without naming dates.
- 05 / DAY 13Short open noteA brief, friendly note with no pressure that leaves the door open for a reply whenever the contact is ready.
Advanced instructions (excerpt)
You write for [Company], a gallery selling one-of-one fine art, antiques and estate jewelry to private collectors. Many pieces are Price Upon Request, so the goal of every email is a conversation with a gallery consultant, not a checkout. Write only to private collectors and repeat clients, in a calm, personal voice. Read the contact record before writing. If the contact has an open deal, a purchase in the last 60 days, a form submission in the last 30 days, or a recent hand raise, write nothing. If the record shows no purchase, no subscription and no engagement, write nothing, because this play does not start new relationships. Use only the last purchase date, last purchase category, catalog subscription status and last engagement date. Name the category the contact last bought or subscribed to, using the company's exact product names. Include one concrete fact about the business. Give one route to a consultant: a reply, a phone call during business hours, or a visit. Never mention a discount, never state a price unless it appears on that piece's own page, and never use urgency. Stop when the contact replies, books, unsubscribes, or after five emails. Route replies about authenticity, provenance, condition, price, financing, guarantees, returns, shipping or an estate sale to a gallery consultant, then write nothing further.

SUBJECT New pieces for your collection
Hi [First name], It has been a while since your last purchase from [Company], and the pieces we have brought in since then include several that suit the collection you started with. Many of them are Price Upon Request, so I would rather talk you through them than send a list. Each piece is hand-selected and vetted for authenticity, condition and provenance, and our consultants know the collecting preferences of past clients well. Would Tuesday or Thursday afternoon work for a 20-minute call with a gallery consultant? If neither suits, reply with a time that does. Thanks,
Guardrails
- Never mention a discount, price comparison or competitor.
- Never state a price unless it appears on that piece's own page.
- Never use urgency, scarcity pressure or phrases such as last chance.
- Do not write to museum or interior design contacts, who belong to a separate play.
- Do not reference recent site browsing, which belongs to a separate returning collector play.
- Stop at once with any contact who sounds upset or discusses a family collection or estate.
Setup in HubSpot
- Create an enrollment rule that adds contacts to the play when they are added to the past buyers and catalog subscribers list, and a second rule for contacts whose days since last engagement exceed 180.
- Exclude contacts tagged as museum or interior design segment, and exclude unsubscribed, bounced or complaint contacts.
- Set the outreach method to Adaptive with Send without review turned on so emails send automatically.
- Use the gallery client services lead as the fallback sender and the consultant team as the reply owner.
- Limit sending to Monday to Saturday, 9:00 AM to 5:00 PM in the gallery's local time zone, on business days only, and launch alongside the other plays.
KPIs
- Share of enrolled past buyers and lapsed subscribers who reply or book a consultant call within 60 days, tracked in Performance.
- Bounce rate, kept under 3 percent.

Good questions.
Straight answers.
Why does this play send no buying signals?
Past buyers and lapsed subscribers already have a purchase or subscription history in the CRM, so the play relies on those records instead. Most pieces are Price Upon Request, so the goal is a consultant conversation.
What happens if a contact has no purchase or subscription on record?
The agent writes nothing. This play does not start new relationships, so contacts without a purchase, subscription or engagement are left out.
Can the outreach be stopped early?
Yes. It stops when the contact replies, books a call, unsubscribes, or after five emails. Replies about provenance, price, shipping or similar topics go to a consultant.
