THE PLAY / FOR A B2B DEMAND GENERATION AGENCY AND HUBSPOT PARTNER

01

Trigger

A company in the monitored B2B SaaS segment shows a buying signal such as funding, executive hiring, tech investment, a product launch, growth metrics or a new job start. Contacts enroll automatically when a signal and a matching persona are both present.

02

Audience

Sales or revenue leaders, heads of demand generation or marketing, and founders or CEOs at B2B SaaS companies with 11 to 200 employees in the U.S. and Canada. Existing clients and companies with open deals are excluded.

03

Signals the agent reads

  • Funding
  • Executive hiring
  • Tech investment
  • Product launch
  • Growth metrics
  • Job started
04

Selling angle

A B2B SaaS team that just raised money, hired a sales leader, launched a product or changed its tech stack often needs more pipeline, more content output or a cleaner CRM. The email names the one signal that changed and offers the matching help, so it reads as researched rather than as a list of services. The offers are a prospecting AI agent, a repeatable webinar demand system, or setup of AI agents the team already pays for.

05

Outreach approach

The Adaptive method has the agent write each of five touches from the advanced instructions and the contact record, with at least three days between touches. The first names the signal and the matched offer, the second shares one proof point about shipped AI builds, the third offers a free planning blueprint as a way to map the next step, the fourth presents a different offer that fits the persona, and the fifth is a short close that gives the reader permission to say no. The outreach stops when the contact replies, books a meeting, unsubscribes or 30 days pass.

  1. 01 / DAY 1Signal and matched offerNames the one signal that changed at the company and offers the help that fits it, such as a prospecting AI agent for a new sales leader. Asks one question.
  2. 02 / DAY 4Proof pointShares one proof point about the number of AI builds the agency has shipped and links to the agency home page. Connects it to the signal.
  3. 03 / DAY 7Free blueprintOffers the free planning blueprint as a way to map the next step for the team's audience, funnel, data and tools.
  4. 04 / DAY 10Second offer for the personaPresents a different offer from the first touch that fits the reader's role, such as a webinar demand system for a marketing leader.
  5. 05 / DAY 13Close with permission to say noA short note that asks whether the timing is wrong and gives the reader permission to say no. Offers the strategy conversation one last time.

Advanced instructions (excerpt)

You write for [Company], a team of senior operators who design and build AI agents, AI-powered builds and growth programs on HubSpot or custom, then keep them running. Write in the first person as the sender. The reader is a busy B2B SaaS leader who is skeptical of cold email and wants a specific reason for the note. Read the contact and company records before drafting. If the company is a customer, has an open deal, or the contact filled in a form or booked a meeting in the last 90 days, write nothing. If the record is empty, make a first approach and invent no history. Each email contains one specific observation from the chosen signal, one matched offer, one question and one link. Keep subject lines under 45 characters, sentence case, with no exclamation marks. First touches run 120 to 180 words and later touches run 90 to 140 words. Use plain sentences and no hype words. Never name an AI vendor or model. Describe only verified facts and never state a price, discount or timeline unless the company's own site states it.

SUBJECT Pipeline after your [Company] round

Hi [First name], Congrats on the round at [Company]. Teams that raise often hit the same wall: the first hires are strong, but reps spend the week on research instead of selling. We build a prospecting AI agent on HubSpot that finds accounts that fit, researches them and drafts outreach worth replying to, while your reps own every reply. We have shipped a long run of AI builds, so we know where these setups stall. Would a 30-minute strategy conversation on [Day, Date] or [Day, Date] be useful? If neither works, you can grab a time that works. Thanks,

08

Guardrails

  • Never send to existing clients, companies with open deals, or contacts who filled in a form or booked a meeting in the last 90 days.
  • Never state a price, discount or timeline unless the company's own site states it.
  • Never invent a customer name, quote or statistic.
  • Route replies that ask about price, scope or contract terms to a human.
  • Never use em dashes, exclamation marks or hype words.
  • Stop the outreach when the contact replies, books a meeting, unsubscribes or 30 days pass.
09

Setup in HubSpot

  1. Create an enrollment rule on the monitored company segment for B2B SaaS, 11 to 200 employees, U.S. and Canada, with the three personas, enrolling contacts when a chosen buying signal appears.
  2. Add exclusions for customers, companies with open deals, and contacts who filled in a form or booked a meeting in the last 90 days.
  3. Turn on Send without review so emails send automatically once a contact enrolls.
  4. Set the sender to a named account owner, with the client services lead as the fallback sender.
  5. Set the send window to business days, 8:00 a.m. to 11:00 a.m. Central Time, adjusted to each recipient's local time zone.
10

KPIs

  • Meetings booked per 100 enrolled contacts, the main measure of success.
  • Reply rate, tracked alongside meetings to spot weak signal matches.
  • Bounce rate, held under 3 percent to protect the sending mailbox.

Questions about this play

Good questions.
Straight answers.

Why does each email name only one signal?

A single specific observation reads as researched, while a list of services reads as a pitch. Each touch brings a new angle so the outreach does not repeat itself.

Does anyone approve the emails before they go out?

No. Emails send automatically under the Send without review setting. A person steps in when a reply asks about price, scope or contract terms.

What happens to a company that shows two signals in one month?

The agent writes a note that fits what changed and does not repeat an earlier message.
