Compliance-approved instant reply agent for demo requests at small B2B financial services firms on Salesforce
The Prospector replies to every inbound demo request within minutes, around the clock, using only compliance-approved message templates, books qualified buyers onto the founder's or a rep's calendar, and works back through the requests that already went cold. Every message is archived for FINRA and SEC recordkeeping, so the firm stops losing half its inbound overnight without creating a compliance problem.

What The Prospector does
A financial services firm of 11 to 50 people gets demo requests through its website, but nobody replies until the next business day, and by then about half the requesters have stopped responding. The founder and a small sales team are the only people who can take meetings, and compliance has to approve anything customer-facing, which is part of why replies are slow (nobody wants to freelance a message). The Prospector owns the first hour after a demo request lands in Salesforce. It checks who the requester is, enriches the record, matches the request to a pre-approved reply from a locked template library, offers meeting times through a scheduling tool, and follows up on a fixed, compliance-approved cadence. It also runs a one-time recovery pass on the past few months of requests that went cold and watches for those accounts returning to the website. It does not write free-form outbound, give product or investment opinions, or answer regulated questions. Those go to a person.
Custom build
The firm runs Salesforce, so Salesforce stays the system of record for every lead, message log and brief, and a custom AI build fits better than an all-in-one outbound tool. Regulated firms need tight control over exactly what gets sent and where it is archived, and an off-the-shelf AI SDR that writes its own copy is hard to defend in a compliance exam. n8n orchestrates the steps and keeps the logic visible and auditable, a custom AI agent handles classification, fit scoring and brief writing (not message writing), Chili Piper handles routing and booking against real calendars, and FullEnrich and Warmly supply data and signals. This keeps the regulated part (the words) fully human-approved while automating the part that was costing them leads (the delay).
What starts it
- A demo request form is submitted and creates a lead in Salesforce, including nights, weekends and holidays
- A requester who has not booked returns to the pricing, demo or product pages (identified visitor signal)
- A booked meeting is cancelled or the requester no-shows
- A previously cold demo request from the recovery list shows new engagement (email reply, link click or site visit)
- Compliance approves a new or revised template, which updates the agent's allowed message set
What it reads
- Salesforce leads, contacts, accounts, opportunities and activity history
- Compliance-approved template library with version numbers and approval dates (stored in Salesforce or a controlled document store)
- Enrichment from FullEnrich waterfall lookups for firmographics, role and verified contact data
- Website visitor identification from Warmly
- Founder and rep calendars with routing rules in Chili Piper
- Suppression lists: existing clients, open opportunities, do-not-contact, competitors and regulator or examiner domains
How it works, step by step
- Screen the request in under a minuteWhen a demo request hits Salesforce, an n8n workflow checks it against existing clients, open opportunities, suppression lists and duplicate leads. Existing clients go to their account owner with a support note instead of a sales reply. Students, job seekers, vendors pitching services and personal-finance consumers are tagged and routed to a polite non-sales template or a person, never into a sales sequence.
- Enrich and fit-checkFullEnrich fills in company size, firm type, role and a verified email. A custom AI agent scores fit against the written ICP (for example firm type, assets or revenue band, buying role) and flags anything ambiguous rather than guessing. Low-fit requests still get a courteous reply but are offered a resource or a short intro call instead of the founder's calendar.
- Send an approved first reply within minutesThe agent selects one template from the approved library based on request type and fit, and fills only pre-defined fields (first name, firm name, the product line they selected, meeting link). It cannot add sentences, claims, performance figures or comparisons. The email is sent from a logged Salesforce sender identity on an authenticated domain so it is captured by the firm's archiving system, and the Chili Piper booking link routes to the right calendar.
- Follow up on a fixed cadenceIf there is no booking, the agent sends up to three approved follow-ups over about a week, timed to the requester's business hours. Any reply that is not a simple yes, a time request or an unsubscribe is paused and routed to a person within the hour during business hours, or first thing the next morning with a holding reply sent overnight from an approved template.
- Recover the requests that already went coldAt launch, the agent pulls the past few months of unconverted demo requests, re-checks suppression and enrichment, and sends a single approved re-engagement note. Warmly then watches those accounts. When someone returns to high-intent pages, the agent alerts the owner in Salesforce with the visit history and the original request, rather than sending another automated email.
- Hand over with a short briefWhen a meeting is booked, the agent writes a brief on the Salesforce record: what they requested, firm profile, role, pages viewed, prior touches and any open questions. The founder or rep sees it in the meeting invite and on the record, so nobody walks in cold.
- Report the whole funnel weeklyDatabox pulls Salesforce data into one view: requests received, time to first reply, booked rate, held rate, opportunities created and pipeline, split by source, fit tier and recovered versus new. Deliverability health (bounce, spam complaints, inbox placement checks) sits on the same dashboard.
When a person takes over
- Any reply that asks about pricing specifics, fees, returns, performance, regulatory status, custody, suitability or anything that could be read as advice goes straight to a licensed person; the agent sends only an approved holding message.
- Compliance reviews and approves every template, subject line and variable field before it goes live and after any edit; the agent cannot send a message version without a current approval stamp.
- High-fit requests from larger firms, or requests mentioning an urgent timeline or a competing provider, trigger an immediate alert so the founder can call personally instead of waiting for a self-booked slot.
- Complaints, unsubscribes with angry language, or anything that looks like a regulatory or legal inquiry stop all automation on that contact and go to the founder and compliance.
Rules it follows
- Outbound content is template-only: the agent fills approved variable fields and cannot generate new claims, figures, testimonials or forward-looking statements, in line with FINRA communications and SEC marketing rules.
- Every message, reply and booking is sent through logged, firm-controlled channels so it is captured by the firm's books-and-records archive; no texting, personal inboxes or unarchived tools.
- Suppression is checked before every send, including existing clients, open deals, do-not-contact, unsubscribes and regulator or examiner domains.
- When fit, identity or intent is unclear, the agent tags the lead for review instead of choosing a path.
- Sending runs on authenticated, warmed domains with daily volume caps, and automation pauses if bounce or complaint rates rise.
How you know it works
- Median time from demo request to first reply, including after-hours requests
- Share of demo requests that book a meeting within 48 hours
- Meeting held rate for agent-booked meetings
- Opportunities and pipeline created from inbound demo requests, with recovered cold requests tracked separately
- Compliance exceptions found in review (target: none) and share of replies correctly escalated
From pilot to live
- Weeks 1 to 3: Approve and connectWrite the ICP, request types and routing rules with the founder. Draft the template library and get compliance sign-off. Connect Salesforce, FullEnrich, Chili Piper and archiving, set up suppression lists and confirm every send is captured. Run the agent in shadow mode on live requests, where it drafts but a person sends.
- Weeks 4 to 6: Live on new requestsTurn on automatic first replies and follow-ups for new demo requests, with all non-standard replies routed to people. Compliance spot-checks a sample of sent messages each week. Tune fit scoring and routing based on which booked meetings turned into real opportunities.
- Week 7 onward: Recovery, signals and ongoing careRun the cold-request recovery pass and switch on Warmly return-visit alerts. Launch the Databox dashboard and a monthly review with the founder. The build is maintained ongoing: template updates through compliance, deliverability monitoring, routing changes as the team grows, and fixes when any connected system changes.

Straight answers.
Will compliance actually allow an AI agent to reply to prospects?
In this design the agent does not write the message. Compliance approves a fixed library of templates and the specific fields that can change, and the agent only selects a template and fills those fields. Every send goes through archived, firm-controlled channels, and anything off-script goes to a licensed person. Your compliance team should review the setup and templates before launch, and it is worth confirming with them how your supervisory procedures treat templated correspondence versus retail communications.
What happens when someone emails back at 10pm with a real question?
The agent recognizes it is not a simple booking or time request, sends an approved holding reply (for example, confirming someone will follow up the next business morning with a link to book in the meantime), and puts the question at the top of the owner's Salesforce queue. It does not attempt to answer questions about fees, products or anything that could be read as advice.
Is it worth chasing the requests that already went cold?
Usually yes, because those people raised their hand once and the firm already paid to get them. The recovery pass sends one approved, low-pressure note and then relies on website return visits rather than repeated emails, so you re-open real interest without hammering people. Recovered meetings are tracked separately on the dashboard so you can see whether it is paying off.
