Compliance-reviewed website chat agent that replaces Monday list-building for a small financial services sales team on Salesforce
A custom AI chat agent answers plan and service questions on the firm's website using only compliance-approved language, qualifies employer and advisor visitors, books meetings with the right rep, and turns every conversation and identified visitor into a prioritized Salesforce worklist. Reps start the week with a ready list of warm, enriched prospects and booked first calls instead of spending Monday morning building lists by hand.

What The Concierge does
A 30-person financial services firm selling retirement plan and benefits administration services to small and mid-size employers has five reps who lose most of every Monday morning pulling names from databases, cross-checking Salesforce, and building call lists by hand. Meanwhile, buyers who visit the pricing, plan comparison and fiduciary-services pages leave without a trace. The Concierge works for the sales team and owns the website front door: it greets visitors, answers product and process questions from an approved knowledge base, asks qualification questions (company size, current provider, plan type, timeline, role), books a meeting with the rep who owns that segment or territory, and writes a clean, enriched lead with transcript into Salesforce. Each Sunday night it also assembles a ranked worklist from the past week's chats, high-intent identified visitors and abandoned conversations, so reps open Salesforce Monday to a list that is already built. Every customer-facing word it uses comes from language compliance has signed off on, and every transcript is retained for recordkeeping.
Custom build
The firm runs on Salesforce, so the right fit is a custom AI build that writes directly into Salesforce rather than a HubSpot-native agent. A custom agent can be locked to a retrieval-only knowledge base of compliance-approved language, which is harder to guarantee with off-the-shelf chatbots that improvise. Chili Piper handles Salesforce-aware routing and booking well, Warmly and FullEnrich supply the visitor and contact data that replaces manual list-building, and n8n ties the pieces together, including the transcript feed to the archive, with self-hostable workflows the firm's compliance team can inspect.
What starts it
- A visitor opens the chat widget or spends meaningful time on pricing, plan comparison or fiduciary-services pages
- A visitor identified by the visitor-reveal tool matches the ideal employer profile and returns to the site
- A chat ends without a booked meeting but with enough qualification data to follow up
- Scheduled Sunday night run that builds each rep's Monday worklist in Salesforce
- Compliance publishes an update to the approved-language library, triggering a knowledge refresh and test run
What it reads
- Compliance-approved knowledge base (product sheets, FAQs, fee disclosure language, service descriptions) stored as versioned documents
- Salesforce leads, contacts, accounts, open opportunities and territory/segment ownership rules
- Warmly visitor identification and intent signals for company and person-level matches
- FullEnrich waterfall enrichment for verified work email, phone, title and company size
- Rep calendars via Chili Piper routing and availability
- The firm's communications archive for retained chat transcripts
How it works, step by step
- Greet and route by visitor typeThe agent opens with an approved greeting and asks whether the visitor is an employer exploring a plan, an existing client, or an advisor/partner. Existing clients go straight to the service team queue with no sales qualification. Advisors are tagged for the partnerships rep.
- Answer questions from approved content onlyProduct, onboarding, pricing-structure and process questions are answered by retrieving from the compliance-approved knowledge base, citing the source document internally. If no approved answer exists, the agent says a specialist will follow up and logs the unanswered question for compliance and content review.
- Qualify with five fixed questionsThe agent captures employee headcount, current plan provider, plan type, decision timeline and the visitor's role in the decision. Answers map to Salesforce picklist fields so scoring and routing stay consistent, and the agent never asks for account numbers, SSNs or balances.
- Book the right repQualified visitors are routed through Chili Piper by segment (headcount band) and territory to the owning rep's calendar, with round-robin as fallback. If the account already exists in Salesforce with an owner, the meeting goes to that owner. The confirmation message uses approved wording only.
- Write the lead and archive the transcriptAn n8n workflow checks Salesforce for duplicates by email and domain, creates or updates the lead or contact, enriches missing fields through FullEnrich, attaches the qualification answers and a summary, and sends the full transcript to the communications archive with a timestamp and record link.
- Build the Monday worklistSunday night the agent compiles each rep's list from the week's unbooked qualified chats, abandoned chats with contact details, and Warmly-identified returning visitors that fit the ideal profile. It ranks them by intent and fit, assigns them as Salesforce tasks with the reason each prospect is on the list, and suppresses anyone in an open opportunity or on a do-not-contact flag.
- Weekly review loopThe agent produces a short report of top unanswered questions, drop-off points in the qualification flow and booking rates by page, so sales and compliance can approve new answers or adjust questions.
When a person takes over
- A visitor asks for investment advice, performance figures, a fee quote specific to their plan, or anything outside approved content: the agent stops, says a licensed specialist will respond, and alerts the owning rep with the transcript.
- A visitor raises a complaint, a dispute with a current provider, or mentions a regulatory issue: the conversation is routed to the compliance officer and the sales manager, not to a rep's pipeline.
- An existing client opens chat about their account: the agent hands off to the service team queue and does not create a sales lead.
- Any new answer, greeting, or change to qualification wording: compliance reviews and approves it before the agent can use it, and the sales manager approves changes to routing rules.
Rules it follows
- The agent only uses language from the compliance-approved library; it cannot generate new claims, comparisons to competitors, return figures or guarantees, and any response that fails a check against the approved set is replaced with a handoff message.
- Every chat transcript, worklist note and follow-up message is retained in the firm's communications archive under its FINRA and SEC recordkeeping policy, with no deletion path available to sales users.
- Nothing customer-facing goes live, including the widget, greetings, booking confirmations and knowledge updates, until compliance has reviewed and signed off in a staging environment.
- The agent never requests or stores sensitive personal or account data (SSNs, account numbers, balances) and masks it if a visitor types it in.
- Worklists respect Salesforce ownership, open-opportunity status and do-not-contact flags so reps never double-touch an account or contact someone who opted out.
How you know it works
- Meetings booked from website chat per week, by rep and segment
- Rep hours spent on manual list-building each Monday, tracked before and after launch
- Share of Monday worklist prospects contacted within two business days and converted to meetings
- Pipeline created from chat-sourced and worklist-sourced leads in Salesforce
- Number of questions escalated for lack of approved content, trending down as the library grows
From pilot to live
- Pilot (compliance-first build)Assemble the approved-language library with compliance, connect Salesforce, Chili Piper and the archive, and run the agent in staging with internal testers. Compliance signs off on every scripted response and the transcript retention test before launch. Go live on pricing and plan comparison pages only, with two reps receiving bookings.
- Expand to the Monday worklistTurn on Warmly identification and FullEnrich enrichment, launch the Sunday night worklist for the pilot reps, and compare their Monday time and meeting counts against reps still building lists by hand. Tune ranking rules and suppression logic from rep feedback.
- Full rollout and ongoing maintenanceExtend chat to all site pages and all five reps, add the advisor/partner path, and move into a maintained cadence: monthly knowledge refreshes routed through compliance, routing updates as territories change, integration monitoring, and a weekly report to the sales manager.

Straight answers.
How does this satisfy FINRA and SEC recordkeeping and approved-language rules?
The agent can only answer from a library compliance has approved, every customer-facing message is reviewed in staging before launch, and every transcript is sent to the firm's communications archive with a timestamp and Salesforce link. Anything outside approved content triggers a handoff instead of a generated answer, and compliance approves every change to the library.
Will the Monday worklist actually replace the lists reps build by hand?
It replaces the warm portion: people who chatted, abandoned a chat, or are identified returning visitors that fit your profile, enriched and ranked with a reason for each. Reps who also do cold prospecting can still pull net-new lists, but they start the week calling the warmest names already sitting in Salesforce tasks instead of assembling them.
What happens if a visitor asks about fees or performance?
The agent shares only approved, general fee-structure language. For plan-specific quotes, performance figures or anything resembling advice, it tells the visitor a licensed specialist will follow up, offers a meeting, and alerts the owning rep with the full transcript.
