Webinar producer agent for DTC ecommerce brands on HubSpot that turns live product sessions into post-purchase and help center content
The Producer builds every asset for a DTC brand's customer webinars (pages, emails, reminder ladder, run of show, host questions) in HubSpot and Demio, then cuts each recording into how-to clips, help center articles and post-purchase email content within days of going live. The result is a webinar program the marketing team runs without manual production work, and recordings that keep answering product questions and driving repeat orders instead of sitting unused.

What The Producer does
A 51 to 200 person DTC brand runs live sessions for customers: product how-tos, care and setup guides, new collection walkthroughs and pre-holiday gift guides. Marketing builds each one by hand, the session goes well, and then the recording sits in the webinar platform because nobody has time to cut it up before the next launch or seasonal push. Meanwhile the support team keeps answering the same how-to questions the session already covered. The Producer works for the marketing team and owns webinar production end to end: it drafts landing pages, registration forms, invite and reminder emails in HubSpot, sets up the event in Demio, writes the run of show and host questions from support ticket themes and product data, and after the live session turns the recording into short clips, help center articles, a post-purchase email module and social cutdowns tied to the products shown. It keeps all of this in sync with the seasonal promo calendar so webinar sends never collide with peak campaigns, and it escalates anything involving orders, offers or product claims to a person.
Built on HubSpot
The brand already runs marketing, customer records and support in HubSpot, with purchase data flowing in from the store, so the agent should live there. HubSpot handles pages, forms, emails, lists, workflows and the knowledge base well, and Breeze can draft copy and summarize tickets inside the tools the team already uses. HubSpot does not host live sessions or edit video, so Demio covers the live event and registration sync, Descript and Castmagic handle transcription and clip cutting, Airtable holds the approved seasonal terms, and n8n orchestrates the steps between them with a custom AI agent doing the planning and drafting. This keeps the source of truth in HubSpot while using purpose-built tools for the parts HubSpot cannot do.
What starts it
- A marketer creates a webinar record in HubSpot (topic, product SKUs, date, host), which starts asset production
- A new product or collection is tagged as launch-ready in the product catalog synced to HubSpot
- A Demio session ends and the recording and transcript become available
- A support ticket topic tagged as how-to or setup crosses a volume threshold the team sets, prompting a suggested session or a refresh of an existing recording
- The seasonal calendar enters a pre-peak window (for example ahead of a major holiday sale), prompting the gift guide and shipping-cutoff session plan
What it reads
- HubSpot Marketing Hub and CRM (contacts, lists, purchase properties from the Shopify integration, campaign calendar)
- HubSpot Service Hub tickets and knowledge base (how-to themes, existing articles)
- Demio (registrations, attendance, chat and Q&A logs, recordings)
- Product catalog data synced from the ecommerce platform (SKUs, approved product copy, images)
- An approved seasonal operations sheet in Airtable (shipping cutoffs, return windows, active offer codes, promo blackout dates)
- Session transcripts and media processed through Descript and Castmagic
How it works, step by step
- Plan the session from real customer questionsWhen a webinar record is created, the agent pulls the top how-to and setup ticket themes for the featured SKUs from HubSpot Service Hub, checks the knowledge base for gaps, and proposes a session outline, title options and a target segment (for example recent buyers of a product line who have not reordered). It checks the Airtable seasonal sheet and flags any date that falls in a promo blackout window.
- Build pages, emails and the reminder ladderIt drafts the HubSpot landing page, registration form and thank-you page using approved product copy and images, creates the Demio event and connects registrations back to HubSpot via native integration or n8n. It writes the invite sequence and a reminder ladder (confirmation, day before, one hour, starting now, missed-it replay) and applies a frequency cap so contacts already in an active promo flow get fewer sends.
- Write the run of show and host questionsIt produces a minute-by-minute run of show with product demo cues, a list of seeded audience questions drawn from real tickets, and a holding script for order, shipping and return questions that points viewers to support. Any offer code in the script is pulled only from the approved Airtable list.
- Monitor the live session and route order questionsDuring the session it reads Demio chat and Q&A, groups product questions for the host, and pulls out order status, shipping and returns questions into a HubSpot ticket queue tagged to the event so support can answer each customer privately after the session.
- Turn the recording into reusable contentOnce the recording lands, it uses Descript and Castmagic to transcribe, chapter and cut it into short clips per product or per question. It drafts a help center article for each clip, a post-purchase email module for the matching SKUs, a replay email for no-shows and social cutdowns, all saved as drafts in HubSpot for review.
- Place approved content where it worksAfter approval, it embeds clips in the matching knowledge base articles, adds the module to the relevant post-purchase workflow in HubSpot, enrolls registrants and no-shows in the replay email, and logs every asset back to the webinar record so the team can see what each recording produced.
- Report and refreshIt reports attendance, replay views, clip views in the help center, ticket volume on covered topics and repeat orders from attendees, then flags recordings that reference expired offers, discontinued SKUs or outdated shipping info for refresh or removal.
When a person takes over
- The ecommerce or merchandising manager approves any offer code, bundle or price mention before it appears on a page, email or run of show, because a wrong code during a high-volume send creates refund and support load.
- The support lead owns every order status, shipping or return question captured during the live session; the agent creates the tickets but never answers order-specific questions itself.
- The host or product lead signs off the run of show and any product performance or care claim, especially for categories with regulated claims such as skincare, supplements or children's products.
- The marketing lead approves the first batch of repurposed clips, articles and post-purchase modules from each recording before anything is published or added to a live workflow.
Rules it follows
- Never state shipping cutoffs, delivery dates, return windows or offer terms from memory or from an old recording; pull them only from the approved seasonal operations sheet and remove or flag clips that conflict with current terms.
- Never answer an individual order, refund or tracking question in chat, email or comments; route it to a support ticket with the customer's identity attached.
- Respect the promo calendar: no webinar invites or reminders go out during blackout windows around peak sales, and contacts already in an active promotional flow are capped on webinar sends.
- Use only approved product copy, images and claims from the catalog; anything new goes to the product lead for review before publishing.
- Send only to contacts with valid marketing consent and keep non-marketing contacts out of webinar lists to protect deliverability and contact tier limits.
How you know it works
- Share of live recordings turned into published clips, articles and email modules within the team's target window after the session
- Ticket volume on how-to topics covered by a published clip, compared with the period before publication
- Registration-to-attendance rate and replay view rate for no-shows
- Repeat purchase rate of attendees and replay viewers versus similar non-attending buyers
- Manual production hours per webinar reported by the marketing team
From pilot to live
- Pilot one product seriesRun the agent on a single recurring how-to session for one product line. It builds pages, emails, reminder ladder and run of show, routes live order questions to support, and produces repurposing drafts. Every output gets human review, and the team checks clip accuracy against current shipping and offer terms.
- Connect repurposing to support and post-purchaseTurn on automatic placement of approved clips into the knowledge base and post-purchase workflows for the pilot SKUs, add the ticket-theme trigger, and work through the existing backlog of unused recordings, retiring any with expired offers or discontinued products.
- Full program with seasonal planning and ongoing maintenanceExtend to all product lines and the seasonal calendar, including pre-peak gift guide sessions. Set up a recurring maintenance pass that updates prompts, integrations and templates as products, shipping terms and HubSpot or Demio features change, plus a monthly review of KPIs and stale content.

Straight answers.
Customers will ask about their orders in the live chat. Won't that derail the session?
The agent pulls order status, shipping and return questions out of the chat as they come in and creates a HubSpot ticket for each one, tagged to the event. The host reads a short holding line from the run of show pointing people to support, and the support team replies privately after the session. The agent never answers order questions itself.
We have a year of old recordings. Can it use those, or only new sessions?
It can work through the backlog. Each old recording is transcribed and cut into clips, then checked against the current catalog and seasonal terms. Anything that mentions a discontinued product, an expired code or outdated shipping info is flagged for edit or retirement rather than republished.
How does it handle peak season when our email calendar is packed?
It reads the promo calendar and blackout dates from the approved seasonal sheet, avoids scheduling sends in those windows, and caps webinar emails for contacts already in promotional flows. Ahead of peak it proposes sessions like gift guides and shipping cutoff walkthroughs early enough that the replay clips are live before the busiest weeks.
