Weekly target list agent that replaces Monday morning list building for small healthcare technology sales teams on HubSpot

The Researcher runs every Sunday night, builds each rep's researched target list for the week inside HubSpot, and attaches a short account brief, verified contacts and a reviewed competitive battlecard to every account. Reps open Monday with a ready-to-work queue instead of spreadsheets, so the first hours of the week go to outreach and booked meetings rather than manual list building.

THE JOB

What The Researcher does

Every Monday, the four to eight reps at a small company selling software to specialty practices, ambulatory surgery centers and outpatient groups start the week the same way: pulling facility names from public directories, cross-checking HubSpot for existing deals, hunting for the practice administrator or revenue cycle lead, and pasting it all into a spreadsheet. By the time the list is clean it is lunchtime. The Researcher owns that work. It works for the sales team and the sales lead, and it owns the weekly target list end to end: sourcing accounts that fit each rep's territory and ICP, excluding anything already owned or in motion, verifying business contacts, writing a short research brief on each organization, and attaching a competitive battlecard drawn only from approved, reviewed language. It researches organizations and their business decision makers, never patients, and it keeps clinical and regulatory claims inside a reviewed library. Because the team asked for build and maintain, the agent is monitored, tuned and kept working week to week rather than handed over and left alone.

PLATFORM

Built on HubSpot

The team already runs HubSpot, so the list, briefs and tasks should live where reps work. HubSpot Breeze handles the parts it does well: company research inside the record, the prospecting agent for summarizing accounts, and native views and task queues for the Monday handoff. Breeze alone does not pull from public healthcare provider data, run waterfall contact verification, enforce a PHI screen on inputs, or restrict battlecards to a reviewed claims library, so a light custom AI build orchestrated in n8n runs the Sunday batch, calls Apollo, FullEnrich and Warmly, applies the exclusion and PHI rules, and writes clean results back into HubSpot. This keeps the rep experience simple while giving the compliance controls a healthcare seller needs.

TRIGGERS

What starts it

  • Scheduled weekly run on Sunday evening that builds every rep's Monday list
  • A rep's territory, ICP segment or weekly quota of new accounts is changed in HubSpot
  • A target-fit organization shows a buying signal mid-week (repeat website visits, a new facility opening, a new practice administrator hire, or an acquisition announcement)
  • A rep marks an account on the list as wrong fit, which triggers a replacement account and logs the reason
DATA

What it reads

  • HubSpot companies, contacts, deals, owner assignments and activity history (notes and free-text fields excluded from prompts)
  • Public healthcare organization data such as the national provider registry, public facility and accreditation listings, and organization websites
  • Apollo and FullEnrich for business contact discovery and waterfall email and phone verification
  • Warmly for identifying target organizations visiting the website and which pages they read
  • Public news, press releases and job postings for growth, leadership change and technology signals
  • An approved battlecard and messaging library maintained by sales and reviewed by clinical and compliance staff
THE WORKFLOW

How it works, step by step

  1. Load each rep's rules for the weekPull territory, ICP segment, target account count and exclusion rules from HubSpot. Exclude current customers, open deals, accounts touched in the last set number of days, accounts owned by another rep, and any organization on a do-not-contact list.
  2. Source and score candidate accountsPull candidate organizations from public provider and facility data plus the contact database, then score them on fit (specialty, number of sites, location, size) and timing signals (website visits in Warmly, new locations, leadership hires, recent acquisitions). Deduplicate against HubSpot by domain and organization identifier so no rep gets an account that already exists under a slightly different name.
  3. Find and verify the right business contactsFor each account, find two to three role-matched contacts (practice administrator, director of operations, revenue cycle lead, medical director where relevant) through Apollo, then run FullEnrich to verify email and direct dial. Contacts that fail verification are dropped rather than guessed.
  4. Write the account briefProduce a five to eight line brief per account: what the organization does, sites and specialties, recent changes, likely operational pain tied to the product, and the source for every fact. Only public business information is used. Anything uncertain is labeled as unconfirmed.
  5. Attach the competitive battlecardIdentify the competitor or incumbent system most likely in place from job postings, website technology and public mentions, then attach the matching battlecard from the approved library. The agent selects and tailors from reviewed language and never writes new clinical, outcome or compliance claims.
  6. Deliver the Monday queueCreate or update company and contact records, associate them to the rep, add them to a saved HubSpot view and task queue named for the week, and send each rep a short digest with the top ten accounts and why each made the list. Nothing is enrolled in a sequence automatically.
  7. Learn from rep feedbackTrack which accounts reps accept, reject, or book meetings with, and the rejection reason. Feed these back into scoring rules and exclusion lists weekly, with changes reviewed by the sales lead before they take effect.
HUMANS IN THE LOOP

When a person takes over

  • The rep reviews and approves the Monday list before any account is enrolled in a sequence or contacted, because the rep owns the relationship and the territory judgment.
  • Any battlecard edit, new competitor comparison or claim touching clinical outcomes, patient safety or regulatory status goes to the designated clinical or compliance reviewer before it enters the approved library.
  • If the agent detects anything resembling protected health information in a source or record it was about to use, it stops processing that record, quarantines it, and alerts the privacy or compliance owner instead of continuing.
  • Territory conflicts (an organization with sites in two reps' regions, or a parent health system that already has an owner) go to the sales lead to assign, rather than the agent picking an owner.
GUARDRAILS

Rules it follows

  • No protected health information ever enters prompts, logs or generated briefs. HubSpot notes, call transcripts and free-text fields are excluded from the agent's inputs, and a pattern check screens inputs and outputs for patient names, dates of birth, record numbers and similar identifiers. If the team ever needs the agent to touch PHI, every system in the path must be covered under a signed BAA first.
  • Clinical, outcome and compliance claims come only from the reviewed battlecard library. The agent cannot invent statistics, cite studies, or describe the product as improving patient outcomes unless that exact language has been approved.
  • Every fact in a brief carries a source and a date, and anything older than a set window or not confirmed by a second source is labeled unconfirmed rather than stated as fact.
  • The agent never contacts anyone. It writes to HubSpot and notifies reps, and sequence enrollment stays a human action.
  • Contacts are limited to business roles at organizations. Individual clinicians are only included when they hold an operational or purchasing role, and opt-outs and do-not-contact flags are always respected.
KPIS

How you know it works

  • Rep hours spent on list building each Monday, compared with a pre-launch baseline the team records itself
  • Share of agent-sourced accounts reps accept without replacement
  • Meetings booked per week from agent-sourced accounts
  • New pipeline created from agent-sourced accounts per month
  • Email bounce rate and wrong-contact rate on agent-verified contacts
ROLLOUT

From pilot to live

  1. Pilot with two repsDefine the ICP, exclusion rules and approved battlecard library with the sales lead and compliance reviewer. Run the Sunday build for two reps for four weeks while they still keep their old process alongside it, and compare accuracy, time saved and meetings booked.
  2. Full team with weekly tuningTurn the agent on for every rep, retire the manual spreadsheet, and add mid-week signal-triggered additions from Warmly. Review rejection reasons and bounce rates weekly and adjust scoring, sources and contact roles.
  3. Ongoing maintenance and expansionKeep it working: monitor run failures, data provider changes, HubSpot property changes and PHI screen alerts, refresh battlecards with the reviewer each quarter, and extend coverage to new segments (for example life sciences research sites) once the core list is trusted.

How we build The Researcher (account research agent) ↗

Questions about this agent

Good questions.
Straight answers.

We sell into healthcare. Does this agent need a BAA, and could PHI leak into it?

The agent is designed to research organizations and business contacts, so it should never need PHI. The real risk is PHI sitting in places reps typed it, like HubSpot notes or call recaps, so those fields are excluded from the agent's inputs entirely and a screen checks inputs and outputs for patient identifiers. If anything is flagged, the record is quarantined and your compliance owner is alerted. If you later want the agent to work with data that includes PHI, confirm a signed BAA with every vendor in that path before turning it on.

Should we just use Breeze, or do we need the custom piece?

Use Breeze for in-record company research and summaries, since your reps already live in HubSpot. The custom piece earns its place because your Monday problem is a weekly batch job across public provider data, contact verification and strict exclusion rules, plus a controlled battlecard library for clinical claims. Breeze does not cover those on its own, so the workflow layer handles them and writes the results back into HubSpot.

What happens when the list is wrong or a data source changes, since we asked you to keep it running?

Reps reject bad accounts with a reason and get a replacement, and those reasons are reviewed weekly to fix scoring or exclusions. Run failures, rising bounce rates, provider or API changes and HubSpot property changes are monitored and fixed as part of maintenance, and battlecards are refreshed with your clinical or compliance reviewer on a set schedule. If a Sunday run fails, reps are told before Monday morning so nobody waits on a list that is not coming.
