Post-trade-show follow-up agent for small education and training companies on HubSpot

The Prospector takes every badge scan, booth note and business card from an education conference, classifies each contact as an institutional buyer, parent, student or non-prospect, and sends a researched, calendar-aware first touch within 48 hours instead of weeks. Hot conversations go straight to the founder or seller with a booking link, and the rest get timed follow-up that tracks budget and term cycles, so show spend turns into booked meetings and pipeline.

THE JOB

What The Prospector does

A 30-person education and training company exhibits at several conferences a year (state education association shows, higher ed and workforce development events), and the founder and two sellers come home with hundreds of badge scans, a few dozen business cards and notes scribbled in a booth app. Then the backlog sits: the CSV gets imported two weeks later, nobody remembers which superintendent asked about a district-wide pilot, and by the time a generic email goes out the buyer has talked to three competitors. The Prospector owns the window between the show floor and the first meeting. It works for the founder and the small sales team, and it owns event lead intake, cleanup, audience classification, research, first touch, follow-up through the next planning window, and the handoff of anyone showing real intent. It writes from a maintained context file covering the ICP (districts, colleges, training directors), the offer, approved proof and common objections, and it keeps parents, students and institutional buyers in separate lanes so nobody gets a sales email meant for someone else. The build is maintained on an ongoing basis so each new show is set up before the team packs the booth.

PLATFORM

Built on HubSpot

The team already runs HubSpot, so contacts, event tags, sequences, tasks and deals stay in one place and sellers do not learn a new tool. HubSpot's Breeze prospecting agent handles research summaries and drafting well inside the CRM, and HubSpot workflows handle routing and suppression. It falls short on messy event intake (card photos, voice notes, inconsistent booth exports), education-specific classification and a FERPA screen on replies, so those pieces are a custom AI build orchestrated in n8n and writing back to HubSpot. FullEnrich fills gaps in institutional contact data, Warmly adds visitor signals, Chili Piper books meetings straight to the right calendar, and Databox gives leadership a per-event view.

TRIGGERS

What starts it

  • A badge scan export, booth app sync or business card photo batch is uploaded to the event intake folder during or after a show
  • A seller logs a voice memo or quick note in HubSpot tagged to an event contact
  • An event contact or their institution visits pricing, program or case study pages on the website
  • An event lead replies to any touch, or a follow-up step comes due
  • A known budget or planning window opens for a target institution (for example spring planning for the next school year)
DATA

What it reads

  • HubSpot CRM (contacts, companies, deals, event tags, existing customer and open deal records)
  • Trade show lead exports, booth app syncs, business card photos and seller voice notes
  • FullEnrich waterfall enrichment for verified emails and direct dials on institutional buyers
  • Warmly website visitor identification and page-level buying signals
  • Public institution data such as academic calendars, district or campus size and board meeting schedules
  • Approved context library in HubSpot: ICP, offer, proof points, objection answers and audience rules
THE WORKFLOW

How it works, step by step

  1. Capture and clean within 24 hoursAn n8n workflow pulls badge exports, booth app syncs and business card photos into a staging area, where a custom AI agent parses cards and messy notes, dedupes against HubSpot, standardizes titles and institutions, and tags each record with the event name, date and booth conversation summary. Contacts already tied to customers or open deals are flagged rather than re-prospected.
  2. Classify the audienceEach contact is sorted into one lane: institutional buyer (district leaders, deans, training and HR directors), influencer (teachers, instructors, coordinators), parent, student, or non-prospect (vendors, competitors, press). Parents and students never enter sales sequences; they go to the appropriate marketing nurture or are suppressed. Anything the agent cannot classify confidently goes to a review queue.
  3. Research and enrich buyersFor institutional buyers, the agent runs FullEnrich for verified contact data and adds context: institution size, the current term and next planning or budget window, relevant sessions they attended, and any prior history with the company. It writes a short research note on the contact record so a seller can read it in thirty seconds.
  4. Score by booth heat and routeSeller notes like 'asked for pricing' or 'wants a pilot for fall' plus title and institution fit set a heat level. Hot leads create a same-day HubSpot task for the founder or assigned seller with the research note and a drafted personal email. Warm and cool leads go to the agent's own sequence. Routing rules follow territory and segment (K-12, higher ed, corporate training).
  5. Send a first touch within 48 hoursThe agent drafts a first email that references the specific show, the booth conversation or session, and one relevant proof point from the approved library, with a Chili Piper link for booking. Sends go out from warmed secondary domains, spaced and timed to the recipient's working hours, and skip dates that fall on term start, finals or institutional breaks.
  6. Follow up on signals and the calendarFollow-ups run over three to four weeks, then pause and resume ahead of the institution's next planning window instead of firing on a fixed cadence. Warmly signals (a dean's office visiting the pilot page, several visitors from one district) move a lead up and trigger a seller alert. Replies are triaged into book, objection, not now with a date, wrong person with referral, or unsubscribe.
  7. Report by eventA Databox dashboard fed from HubSpot shows each show's funnel: leads captured, classified, enriched, touched within 48 hours, replies, meetings and pipeline, alongside deliverability health, so leadership can judge which conferences earn their booth fee.
HUMANS IN THE LOOP

When a person takes over

  • Hot booth conversations: the founder or assigned seller sends the first message personally (using the agent's draft) because a buyer who asked for a pilot expects the person they met, not a sequence.
  • Replies that mention specific students, grades, accommodations or other education records are quarantined and sent to a named staff member, who responds without forwarding or storing the details in the CRM.
  • Procurement, RFP, contract vehicle or board approval questions go to the founder, since these involve commitments and timelines the agent should not answer.
  • Contacts the agent cannot classify (for example someone who is both a parent and a district employee) go to a weekly review queue instead of being guessed into a lane.
GUARDRAILS

Rules it follows

  • FERPA screen: the agent never requests, stores or summarizes student education records or personally identifiable student information. Inbound messages are scanned, and any containing student names with grades, IDs, accommodations or similar details are redacted from CRM notes and escalated to a human.
  • Audience separation: students and parents are never placed in institutional sales sequences, and anyone identified as a minor is suppressed from all outreach.
  • Calendar awareness: no sends during an institution's term start week, exam periods or published breaks, and follow-up resumes aligned to planning and budget windows rather than a fixed day count.
  • Suppression rules: existing customers, open deals, competitors, vendors, prior unsubscribes and contacts without a lawful basis for outreach are excluded, and every email carries a working opt-out.
  • Only approved proof: the agent may cite outcomes, institutions and program details from the reviewed context library and nothing else, and it never promises pricing, funding eligibility or start dates.
KPIS

How you know it works

  • Median hours from show close to first touch for every event lead
  • Share of institutional buyer leads touched within 48 hours
  • Meetings booked per event, split by K-12, higher ed and corporate training
  • Pipeline created per event within 90 days of the show
  • Reply rate and bounce rate per sending domain
ROLLOUT

From pilot to live

  1. Pilot on the last show's backlogLoad the untouched leads from the most recent conference, build the context library with the founder, set audience rules and the FERPA screen, and run classification and enrichment with every email approved by a human before sending. Warm sending domains in parallel with Warmy.
  2. Live at the next showSet up intake for the upcoming event before it starts so scans flow in daily during the show. The agent sends warm-lane first touches on its own while hot leads still go through seller tasks. Review reply triage and classification accuracy weekly.
  3. Every event plus always-on signalsExtend to all conferences and webinars on the calendar, turn on website visitor signals for all event-sourced institutions, and add the per-event dashboard to the leadership review. Ongoing maintenance covers context updates each term, new event templates, domain health and rule changes.

How we build The Prospector (prospecting agent) ↗

Questions about this agent

Good questions.
Straight answers.

Can it work the leads from the show we did last month, or only new ones?

Yes, the pilot starts with that backlog. The first email acknowledges the time gap honestly and references the event and what the institution cares about, rather than pretending the conversation was yesterday. Older leads with no booth notes get lighter treatment, and anyone who already bought or went cold for a clear reason is suppressed.

How does it stay on the right side of FERPA when teachers and parents reply with details about students?

The agent never asks for student information, and every inbound reply passes a screen before it is logged. If a message contains student names alongside grades, IDs, accommodations or similar record details, the content is redacted from HubSpot notes and the thread is routed to a named staff member to answer directly. Your FERPA obligations and any data agreements with institutions still need review by your own counsel or compliance lead.

Our buyers go quiet around term start and the summer. Won't follow-up just get ignored?

That is why follow-up is tied to each institution's calendar rather than a fixed cadence. The agent holds sends during term start, exams and breaks, and resumes ahead of the planning and budget windows when district and campus buyers are actually deciding on next year's programs, using a short note that picks up from the show conversation.
