Website chat agent that answers demo requests in minutes for an industrial manufacturer selling direct and through distributors on Salesforce

A custom AI chat agent engages visitors the moment they ask for a demo, answers spec-level product questions from approved technical content, works out whether the buyer belongs with a direct rep, a key account manager or a channel partner, and books the meeting live. Every conversation lands in Salesforce with the application details, so demo requests turn into scheduled meetings while the buyer is still interested instead of a next-day reply to a cold lead.

THE JOB

What The Application Desk does

An industrial manufacturer with 200+ employees gets steady inbound demo and quote requests through its website, but they sit in a shared inbox or web-to-lead queue until inside sales triages them the next morning. By then about half of the engineers and buyers who asked have moved on, often to a competitor's distributor who picked up the phone. Triage is slow because every request needs the same sorting: is this an existing account in the ERP, which territory is it in, does a distributor own it, and is it a real application or a student or a competitor. The Application Desk owns that first conversation for the sales team. It greets demo-request and high-intent visitors on the website, asks the qualification questions a sales engineer would ask (application, industry, operating conditions, volumes, timeline, location), answers product and spec questions only from approved datasheets and application notes, decides the right owner using territory and channel rules, books the meeting on that person's calendar, and writes a complete lead or activity to Salesforce. It does not quote price, lead time or stock, and it hands off to humans whenever a question needs engineering judgment or touches a partner's account.

PLATFORM

Custom build

The team runs Salesforce, and the hard part of this agent is not the chat window but the routing logic: matching against Salesforce ownership, a read-only ERP customer master and a distributor territory map before booking anyone. A custom AI build handles that cleanly, with n8n orchestrating the Salesforce and ERP lookups, a retrieval index over versioned technical documents so answers can cite revisions, and Chili Piper doing the live booking it already does well with Salesforce routing. Salesforce's own agent tooling is an option if the company already licenses it, but a custom build avoids forcing ERP and partner data into Salesforce just to route a chat, and it is easier to keep current as datasheets and territories change under a build-and-maintain arrangement.

TRIGGERS

What starts it

  • A visitor submits or starts the demo or quote request form on the website (the chat opens alongside the form and offers to book immediately)
  • A visitor spends time on spec sheets, CAD download pages or product comparison pages and the visitor identification tool matches them to a target account
  • A visitor on a product page asks a question in the chat widget
  • An existing web-to-lead record created outside business hours has no owner activity within 15 minutes (the agent sends a follow-up with a booking link)
  • A known contact from a Salesforce open opportunity returns to the site and opens chat
DATA

What it reads

  • Salesforce (accounts, contacts, open opportunities, lead and account ownership, territory assignments)
  • ERP customer master, read-only through a nightly sync or API (ship-to and bill-to accounts, active customer flag, assigned distributor), used only to recognize existing customers and route, never shown to visitors
  • Approved technical content library (datasheets with revision numbers, application notes, certifications, installation guides, FAQs) indexed for the agent
  • Distributor and channel partner territory map (region, product line, exclusive vs open territories, partner contact for meetings)
  • Rep and sales engineer calendars plus routing rules in Chili Piper
  • Visitor identification and firmographic data from Warmly and ZoomInfo
THE WORKFLOW

How it works, step by step

  1. Engage at the moment of intentWhen a visitor opens the demo form or lingers on spec and CAD pages, the agent opens with a short, specific offer (for example, help finding the right model or booking time with an application specialist). If Warmly or ZoomInfo identifies the company, the agent pre-fills what it knows so the visitor is not asked for things the business already has.
  2. Qualify like a sales engineer, not a formThe agent asks four to six questions adapted to the product line: application and industry, key operating conditions (such as pressure, temperature, load or material), expected annual volume or project size, project stage (spec, budget, replacement, new line), timeline and ship-to location. It accepts partial answers and moves on rather than forcing every field.
  3. Answer product questions from approved content onlySpec, compatibility and certification questions are answered from the indexed datasheets with the document name and revision cited, and a link to download it. If the answer requires interpolation, a custom configuration or a judgment about fitness for an application, the agent says so and routes to a sales engineer instead of guessing.
  4. Check existing relationships before routingThrough an n8n workflow, the agent matches the company and ship-to location against Salesforce and the synced ERP customer master. If the account is an active customer, it routes to the account owner. If the ERP shows an assigned distributor, or the territory map shows an exclusive partner, it follows the channel rules for that region and product line.
  5. Book the meeting live with the right ownerChili Piper offers open slots for the correct direct rep, sales engineer or partner contact based on the routing result. Strong-fit, near-term projects get a meeting with a rep plus sales engineer. Early spec-stage inquiries get a shorter application call. Partner-owned leads get either a booked slot with the partner or a warm introduction, depending on the partner agreement.
  6. Write a usable record to SalesforceThe agent creates or updates the lead or contact, attaches the conversation transcript and a structured summary (application, conditions, volume, stage, timeline, documents viewed), sets the owner and channel flag, and logs the booked meeting. Duplicates are matched on email domain and account before anything new is created.
  7. Recover anyone who leaves without bookingIf the visitor drops off, the agent sends one follow-up within minutes with the summary of what they asked, the relevant datasheet and a booking link. Unbooked qualified leads are assigned as a Salesforce task to the owner with a same-day due time.
HUMANS IN THE LOOP

When a person takes over

  • Engineering judgment: questions about suitability for a specific application, custom configurations, out-of-spec operating conditions or failure analysis go to an on-duty sales engineer through a Slack or Teams alert with the transcript, and the visitor is offered a booked technical call.
  • Channel conflict: when the visitor's location falls in a partner's exclusive territory but the account is flagged as a direct or strategic account (or the partner and direct rep both claim it), the agent books nothing and alerts the channel manager to decide ownership the same business day.
  • Pricing, lead time, stock or order status: any request for a quote, delivery date or order lookup goes to inside sales or the assigned distributor, because those answers live in the ERP and depend on contract terms the agent must not state.
  • Large or strategic projects: inquiries that mention multi-site rollouts, OEM supply or volumes above a set threshold are routed directly to the key account manager with an immediate alert, not just a calendar booking.
GUARDRAILS

Rules it follows

  • Never quote prices, discounts, lead times, inventory or order status, and never reveal ERP data (customer status, order history, assigned distributor) to a website visitor. ERP data is used only to route.
  • Respect channel agreements: if the territory map or ERP assigns a distributor, the agent follows that partner's rules and never offers a direct purchase path that bypasses them.
  • Technical answers must come from the current approved revision of a datasheet or application note and cite it. If two documents conflict or no document covers the question, the agent escalates to a sales engineer.
  • Do not make claims about compliance, certifications or safety ratings beyond what the approved documents state for that exact model.
  • Identify itself as an automated assistant, collect only the contact details needed to book, and honor consent and cookie choices before using visitor identification data.
KPIS

How you know it works

  • Median time from demo request to first response (target: within the chat session, not the next day)
  • Share of inbound demo requests that end with a meeting booked during the session or within one hour
  • Meetings held (not just booked) by owner type: direct rep, sales engineer, distributor
  • Pipeline created in Salesforce from chat-sourced meetings, tracked by product line and region
  • Escalation rate and the share of escalations resolved by a human within the same business day
ROLLOUT

From pilot to live

  1. Pilot on one product line and regionIndex the datasheets and application notes for one high-inquiry product line, load the territory map and routing rules for one region with both direct and distributor coverage, and run the agent on that product's pages and the demo form. Sales engineers review every transcript daily for the first weeks to fix wrong answers and routing gaps.
  2. Add ERP matching and partner bookingTurn on the read-only ERP customer sync so existing customers route to their owners, connect willing distributor partners' calendars in Chili Piper, and expand to the remaining regions. Review channel conflict escalations weekly with the channel manager and tighten the rules.
  3. Full site and ongoing maintenanceExtend to all product lines and high-intent pages, add after-hours recovery for web-to-lead records, and keep it maintained: re-index content whenever a datasheet revision is released, update territory changes as partner agreements change, and review KPIs and a sample of transcripts monthly with sales leadership.

Questions about this agent

Good questions.
Straight answers.

What happens when a demo request comes from a region a distributor covers?

The agent checks the territory map and the ERP's assigned distributor for that account. If the partner agreement allows it, it books directly on the partner's calendar or sends a warm introduction with the full qualification summary, and logs it in Salesforce with a channel flag so the direct team can see partner-sourced demand. If the account is also flagged as direct or strategic, it stops and alerts the channel manager instead of choosing.

Will it give our engineers' customers wrong specs?

It only answers from the current approved revision of your datasheets and application notes, cites the document, and links to it. Anything requiring judgment (custom configurations, conditions outside the published range, fitness for a specific application) goes to a sales engineer. During the pilot your engineers review transcripts daily, and every datasheet revision triggers a re-index as part of maintenance.

Does it need full access to our ERP?

No. It needs a read-only feed of the customer master (account identifiers, ship-to locations, active flag, assigned distributor) synced nightly or queried through an API. It never sees pricing, contracts or order history, and nothing from the ERP is ever shown to a visitor. Order status and lead time questions are routed to inside sales or the distributor.
